Job Title: Export Garment Booking Service Executive

Department: Export / Logistics
Reports To: Export Manager / Operations Manager
Location: Dubai, UAE
Salary: AED 4,000 – 5,000

Role Definition

The Export Garment Booking Service Executive is responsible for managing export bookings, order processing, documentation, customer follow-up, and coordination across all garment export activities. The role ensures smooth coordination between customers, production, logistics, and management while maintaining accuracy, compliance, and timely shipment execution.

Key Responsibilities & Deliverables1. Export Booking & Order Handling

  • Receive and verify garment export orders (styles, quantities, sizes, timelines).
  • Create bookings in Zoho or internal booking systems.
  • Coordinate with production to confirm availability and timelines.
  • Prepare internal job orders and share across departments.
  • Follow up with suppliers/factories on order readiness.
  • Confirm vessel schedules with shipping agents.
  • Track bookings from creation to final shipment dispatch.

2. Customer Communication & Updates

  • Share booking confirmations and expected delivery timelines.
  • Respond promptly to WhatsApp, email, and phone inquiries.
  • Inform customers of any delays or changes.
  • Provide regular shipment and packing status updates.
  • Capture special instructions for packing, labelling, and documentation.

3. Export Documentation

  • Prepare commercial invoices, packing lists, COO requests, and related documents.
  • Coordinate chamber stamping and government authentication.
  • Verify HS codes, quantities, pricing, and buyer details.
  • Submit documents to shipping lines/freight forwarders before cutoff.
  • Share pre-alert documents with customers after shipment.

4. Payment Monitoring & Coordination

  • Issue proforma invoices and payment schedules.
  • Follow up on advance payments and outstanding balances.
  • Coordinate with Finance to confirm receipts.
  • Track pending payments and send reminders.
  • Hold or release bookings based on company payment policies.

5. Production Coordination

  • Monitor daily production status for export orders.
  • Align production timelines with shipment deadlines.
  • Follow up on cutting, stitching, finishing, and packing.
  • Work with QC to resolve quality or quantity discrepancies.
  • Confirm final packed quantities before document issuance.

6. Logistics & Shipment Coordination

  • Arrange loading schedules with warehouse/logistics teams.
  • Confirm container numbers, bookings, and vessel details.
  • Ensure cartons are labeled and packed to buyer specifications.
  • Prepare delivery notes and monitor loading activities.
  • Track container movement and final shipping.
  • Prevent missed vessel cutoffs.

7. Data Management & Reporting

  • Maintain updated records for bookings, shipments, payments, contacts, and order history.
  • Upload all documents and updates into the system.
  • Prepare weekly management reports covering:
  • Orders in progress
  • Completed shipments
  • Pending payments
  • Issues/risks

8. Issue Management

  • Identify and escalate production or booking delays.
  • Coordinate cross-department resolutions.
  • Keep management informed of risks and urgent decisions.

9. Customer Database & Relationship Support

  • Maintain an accurate customer database.
  • Track customer history and preferences.
  • Support sales teams with insights for repeat orders and retention.

Measurement Metrics (KPIs)

  • Bookings processed
  • Shipment/document accuracy
  • On-time delivery rate
  • Payment follow-up success rate
  • Customer communication frequency
  • Data accuracy and reporting timeliness
  • Issues resolved vs. escalated

Qualifications & Skills

  • Bachelor’s degree (Business, Logistics, Export Management preferred).
  • 2–4 years’ experience in export coordination or garment export operations.
  • Knowledge of export documentation and shipping processes.
  • Experience with Zoho or similar ERP systems is an advantage.
  • Strong communication and coordination skills.
  • Attention to detail and ability to handle deadlines.
  • Proficiency in MS Office.

Job Type: Full-time

Pay: AED4,000.00 - AED5,000.00 per month
