Export Import Documentation Executive

Job Responsibilities

  • Prepare and verify export and import documents such as invoices, packing lists, shipping bills, bills of lading, certificates of origin, and other trade-related documents.
  • Coordinate with freight forwarders, customs agents, shipping lines, and banks for document submission, clearance, and payments.
  • Manage documentation for LC (Letter of Credit), advance payment, and DP/DA terms.
  • Ensure all documents comply with international trade regulations and customer requirements.
  • Monitor shipment schedules and ensure timely dispatch and delivery.
  • Maintain records and archives of all transactions and documentation for audit and

compliance.

  • Handle document discrepancies by coordinating with internal teams and external parties.
  • Liaise with the finance team for the timely submission of documents for payment realization.
  • Update internal systems and trackers regularly to reflect the status of shipments and

documents.

  • Assist in EDPMS/IDPMS tracking, and coordinate with banks for submission and closure.

Preferred Candidate Profile:

  • Graduate in Commerce / International Trade / Logistics or a related field preferred.
  • 2–3 years of hands-on experience in export-import documentation, preferably in a trading or logistics company.
  • Strong knowledge of shipping terms (Incoterms), export procedures, and banking documentation.
  • Familiarity with EDPMS/IDPMS systems and online portals like DGFT, ICEGATE, and customs systems.
  • Proficient in MS Office (Excel, Word) and documentation software/tools.
  • Excellent communication and coordination skills.
  • Ability to work under pressure and meet tight deadlines with high accuracy.
  • Strong organizational skills and attention to detail.

Job Type: Full-time

Pay: Up to ₹25,000.00 per month
