Export/Import Documentation Executive

We are seeking a detail-oriented and experienced Export/Import Documentation Specialist to join our dynamic team. As a vital member of our organization, to manage and coordinate all banking, export documentation, and payment-related activities. The ideal candidate should have strong experience in handling international trade transactions, including Letters of Credit (LC), MT messages (SWIFT), Telegraphic Transfers (TT), Cash Against Documents (CAD), Documents Against Payment (D/P), and Documents Against Acceptance (D/A).

Key Responsibilities:

  • Prepare, verify, and manage export documentation in compliance with LC terms, Incoterms, and international trade regulations.
  • Liaise with banks for negotiation, acceptance, and collection under LC, D/P, and D/A terms.
  • Scrutinize Letter of Credit (LC) clauses and advise on amendments or discrepancies before shipment.
  • Coordinate with logistics, freight forwarders, and buyers for timely document submission and payment collection.
  • Handle SWIFT messages (MT700, MT103, MT202, etc.) and ensure proper communication with banks and clients.
  • Follow up with banks and clients to ensure prompt realization of export proceeds.
  • Manage TT payments, remittance confirmations, and reconciliation of inward/outward payments.
  • Maintain accurate records of all transactions, payments, and export documentation.
  • Assist in resolving any banking or documentation discrepancies with efficiency and accuracy.
  • Support internal and external audits related to trade finance transactions.

Key Responsibilities:

  • Strong knowledge of international trade finance instruments and UCP 600 guidelines.
  • Proficiency in handling LC documents, SWIFT MT formats, and payment methods (TT, D/P, D/A, CAD).
  • Excellent communication and coordination skills with banks and clients.
  • High attention to detail and accuracy in document review.
  • Strong organizational and time management abilities.
  • Working knowledge of MS Office (Excel, Word) and banking portals.

1. Documentation Management:

  • Prepare and review shipping documents, including commercial invoices, packing lists, and bills of lading.
  • Ensure compliance with international trade regulations and customs requirements.
  • Coordinate with various departments to gather necessary information for accurate documentation.

2. Customs Compliance:

  • Stay updated on changes in import/export regulations and customs procedures.
  • Collaborate with customs brokers to facilitate clearance processes.
  • Address any discrepancies or issues related to customs documentation.

3. Communication and Coordination:

  • Communicate effectively with internal teams, suppliers, and freight forwarders to obtain required documentation.
  • Coordinate with external agencies and government authorities to ensure timely approvals and permits.

4. Record Keeping:

  • Maintain organized and up-to-date records of all export and import documentation.
  • Generate reports and summaries as needed for management and regulatory purposes.

5. Problem Resolution:

  • Proactively identify and resolve documentation discrepancies or issues to prevent delays in shipments.

6.Banking and Finance:

  • Utilize your knowledge of banking, finance, and accounts to manage letters of credit, document collections, and other financial transactions related to international trade.

Candidate Requirements:

  • Bachelor’s degree in Commerce, Finance, or International Business (preferred).
  • Prior experience in an international trading or export/import company is an advantage.
  • Strong understanding of global trade regulations and customs procedures.
  • Minimum 3–5 years of experience in export documentation or trade finance.
  • Effective communication skills and the ability to collaborate with cross-functional teams.
  • Proficient in using relevant software like Microsoft Suite, Canva and other relevant systems for documentation purposes.
  • Problem-solving skills to address any issues related to documentation or customs clearance.
  • Proficiency in banking, finance, and accounts related to international trade transactions.
