EYE CAMPS COORDINATOR

Location: Lahore (with frequent travel across Punjab, Sindh, KPK, AJK)

Supervises: Field teams during eye camps (including doctors, optometrists, volunteers, support staff)

Position Description
The Eye Camps Coordinator will be responsible for the end-to-end coordination, implementation, and reporting of all mobile eye camps across the country. This includes overseeing logistics, enforcing compliance with organizational SOPs, ensuring safeguarding measures are observed, supervising field staff, and maintaining high standards of patient care and ethical conduct. The coordinator will act as the lead field representative of Al-Mustafa Welfare Trust (AMWT) during outreach operations and ensure that all eye camps run efficiently, safely, and in accordance with internal policies and donor expectations.
Core Responsibilities
1.1 Prepare the annual and quarterly eye camp calendar in consultation with the medical and programme teams.
1.2 Coordinate with hospitals, local partners, district authorities, and donors for scheduling and approvals.
1.3 Identify camp locations based on needs assessment, strategic outreach priorities, and donor commitments.
1.4 Ensure the timely availability of surgical kits, medicines, patient forms, and other necessary supplies in collaboration with the logistics/procurement unit.
2.1 Lead the implementation of each eye camp, including logistical setup, staff briefing, community engagement, and patient flow.
2.2 Enforce the implementation of SOPs at every stage, from registration to post-operative care, ensuring ethical, patient-centered, and dignified service.
2.3 Verify credentials and suitability of all deployed field staff before any travel, especially regarding gender-sensitivity and safeguarding clearance.
2.4 Supervise on-ground activities and take immediate corrective action if misconduct, mismanagement, or safeguarding breaches are observed.
3.1 Ensure that all camp staff and volunteers have signed the Code of Conduct and Safeguarding Commitment Form.
3.2 Conduct mandatory field briefings on child protection, ethical behavior, gender sensitivity, and zero tolerance for exploitation or abuse.
3.3 Monitor interpersonal dynamics among field staff and intervene proactively if boundaries are crossed or inappropriate behavior is suspected.
3.4 Maintain a register of reported incidents (even informal or anonymous) and liaise with HR for internal action if needed.
4.1 Use standardized tools to monitor key performance indicators (KPIs) such as the number of surgeries, patient recovery rates, gender/age disaggregation, and community satisfaction.
4.2 Conduct follow-up visits where required to assess the impact and ensure post-op patient care has been delivered as committed.
4.3 Compile lessons learned from each camp and propose improvements to camp protocols or team configurations.
5.1 Ensure that every eye camp is documented with:
5.2 A narrative report,
5.2.1 Patient-level data (disaggregated),
5.2.2 Staff attendance and roles,
5.2.3 Incident log (if any),
5.3 Financial expenditure summary,
5.4 Photographs (with proper consent).
5.5 Submit detailed reports to the Programmes Department and donor liaison teams within 7 days of each camp.
5.6 Archive all data in secure organizational databases and ensure it is accessible for audits, evaluations, or donor visits.
