Facilities and Office Services Clerk

In this position, you will be an integral part of the New York office reporting to the Office Services and Facilities Manager to provide critical support to a high performing team of attorneys and staff. In this role you are responsible for various facilities support duties, including upkeep and maintenance programs and working with building management and vendors. Additionally, you will have responsibility for office services, including fulfilling requests for scans, prints and copies, managing the mail, and preparing FedEx packages.


On any given day, you will be working with your colleagues on a variety of requests and projects. You will:

    • Conduct daily walk-throughs and make daily lists of items that need to be addressed (e.g. spills, burned out light bulbs, etc.) and add to work log.
    • Respond to users’ requests, questions and complaints regarding office surroundings, furniture and fixtures to ensure a positive resolution. Maintain a log of pending and completed work.
    • Set up conference rooms; install and remove miscellaneous equipment, (e.g., easels, podium, etc.)
    • Communicate with building management and office personnel on various building updates.
    • Supervise on-site vendors, furniture repairs and perform minor carpentry as needed (e.g., install door hooks, hang pictures, install nameplates, etc.)
    • Maintain keys and security ID cards and issue new ones, as needed.
    • Complete internal mail runs and daily Post Office trips. Sort and distribute incoming mail and deliveries. Pickup and deliver packages from outside delivery services as needed. Prepare FedEx packages.
    • Scan, print, fax and copy to complete various customer service requests.
    • Stock supplies and paper. Set-up offices with proper furniture, equipment and supplies.
    • Send out and receive all messenger requests.
    • Assist with ad hoc requests as needed

  • A high school diploma, a desire for career growth, and a genuine wish to help others
  • Working knowledge of Microsoft Office Suite and an aptitude for learning new programs
  • A detail-oriented skill set with the ability to budget time efficiently while handling multiple tasks. A high degree of initiative with excellent troubleshooting and follow-through skills.
  • Distinct speaking capability and a professional business appearance
  • The ability to interpret and analyze information, follow written and/or oral instructions, provide information, and maintain effective relationships with a diverse group of attorneys, clients and staff in person, by email and telephone with professionalism, courtesy and diplomacy.
  • Ability to work on-site Monday through Friday from 12:00 pm – 8:00 pm, plus occasional overtime as needed
