Job Description:
The Facilities Service Maintenance Scheduler is responsible for planning, scheduling, and coordinating preventive, corrective, and emergency maintenance activities across all facility systems. This role ensures that maintenance resources (staff, materials, and contractors) are efficiently allocated to minimize equipment downtime and maintain operational continuity. Provide support to customer care service with daily work task as needed.
Primary Responsibilities:

Develop and manage daily, weekly, and monthly maintenance schedules for all facility systems (e.g., HVAC, electrical, plumbing, safety systems).

Coordinate and prioritize work orders with maintenance teams, contractors, and internal departments.

Utilize a Computerized Maintenance Management System (CMMS) to track and schedule all maintenance tasks.

Monitor Preventive Maintenance and Work Order completion rates and backlog reports to optimize workforce productivity.

Schedule and coordinate preventive maintenance (PM) based on manufacturer recommendations and operational needs.

Ensure that safety protocols, operational procedures, and compliance requirements are integrated into maintenance planning.

Maintain historical records of maintenance activities, equipment service logs, and contractor performance.

Communicate upcoming maintenance schedules and potential disruptions to affected departments.

Assist in preparing reports on maintenance efficiency, downtime analysis, and schedule compliance.

Track and follow up on open work orders to ensure timely completion and customer satisfaction.

Continue reviewing, updating preventive maintenance records for up to date and current records

Coordinate with maintenance staff to schedule repairs, preventive maintenance, and inspections.

Monitor and report on service desk performance metrics (e.g., response times, resolution rates)

Assist in the uploading of new facilities, service and equipment

Support Customer Service with daily activities as needed

Coordinate with internal technicians, external vendors, and building managers to ensure timely and accurate resolution of service tickets.

Maintain detailed records of service activities, preventive maintenance schedules, and facility asset information.

Provide regular status updates to requesters and escalate urgent or unresolved issues as needed.
Basic Qualifications

TS/SCI w/ Poly Clearance is required
-
High school diploma or equivalent required; associate degree or certification in facilities management, construction, or a related field preferred.

3+ years of relevant experience in facilities operations, building maintenance, or project coordination.

Demonstrated experience in Facility Management, including daily operations, preventive maintenance, and space utilization.

Experience with Routine Maintenance, Facility Maintenance, and oversight of key infrastructure systems (e.g., HVAC, plumbing).

Strong organizational and communication skills, with the ability to coordinate tasks across multiple internal and external stakeholders.

Proficiency with Microsoft Office and facility management software (e.g., SAP, CMMS or equivalent systems).
Preferred Qualifications

Bachelor’s degree in Facilities Management, Engineering, Construction Management, Business Administration, or a related field. Additional years of experience can be considered in lieu of degree.

6+ years of progressive experience in facilities planning and operations across multiple sites or complex environments.

Demonstrated success in Project Management, including Project Planning, Project Scheduling, and execution of space allocation or construction projects.

Strong interpersonal skills for providing counsel to internal leadership and managing PMs

Strong knowledge of CMMS platforms (e.g., Maximo, eMaint, SAP PM, MPulse).

Excellent organizational and time management skills.

Ability to read and interpret maintenance manuals, schematics, and technical drawings.

Strong communication skills and ability to coordinate across multiple teams.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

Knowledge of OSHA regulations and maintenance best practices.
