Facilities Services and Operations Specialist Opportunity
Tallahassee State College (TSC), recently recognized as one of the Most Promising Places to Work in Community Colleges for 2025, is excited to announce a full-time opportunity for the position of Facilities Services and Operations Specialist – P01541 with our Facilities Department. What You’ll Do
As Facilities Services and Operations Specialist, you’ll have the chance to administrate, manage and maintain the AiM (CMMS) system by performing information-processing operations utilizing software programs and peripheral equipment. This position will require frequent collaboration with various departments and employees using the system. Assist in training all AiM users, develop new procedures as the system evolves and entering of new buildings, inventory, equipment, systems, assets, etc. Utilizing the input to the AiM system to assign TSC employees work orders for the repair, inspection and maintenance of College Buildings, equipment, vehicles, and the HVAC/BAS, electrical, plumbing, electronics, carpentry, etc. Develop reporting systems to demonstrate improvements and/or declines in all areas. Monitor department Supervisors and Superintendents as needed to ensure work orders are being completed within the required periodicities. Create training documents and perform in-person or remote training as needed.
Day-to-day, you’ll be responsible for:
  • Manages and troubleshoots the CMMS. Ensures system, software, training, and reports accurately and effectively function with the most current versions and applications. Participates in requisite CMMS training and education. Coordinates the planning, design and establishment of data entry standards used in the CMMS. Establishes, reassigns, revises or deletes records in key data tables in response to system user requirements. Designs security levels for individuals and groups IAW guidelines and objectives provided by the 3M Supervisor. Develops and manages standards/procedures used for entering facility-wide information and setting system defaults for each site. Coordinates with Engineering, Information Technology (IT), and CMMS users to facilitate the importing and exporting of equipment, inventory and other data.
  • Designs and creates reports and other reporting tools used in the work order and inventory analysis graphs. Monitors the change process for system procedures and standards. Evaluates change proposals, coordinates change development and implements change. Coordinates with the various departments the management of facility asset records and preventative maintenance schedules. Performs periodic analysis of preventative maintenance program and presents analysis to Department Managers/Supervisors. Advises on and participates in the training of the CMMS users. Coordinates the interface between maintenance, purchasing, and inventory to support the maintenance function including the establishment and maintenance of equipment master, labor and inventory records.
  • Assists in support of system software through diagnosis of problems and implementation of changes to resolve problems. Develops and implements specialized programs/routines/utilities to supplement and enhance system software, and other duties as may be assigned.
  • Performs other related duties as assigned.
Who We’re Looking For
We’re seeking a candidate who brings not only technical expertise but also a passion for education and student success. Our ideal candidate will have:
  • Graduation from a two-year college with a major in computer science, information technology or related area and one (1) year in the information technology or computer science field related to the position's role.
  • ;OR graduation from a four-year college or university and one (1) year experience in the information technology or computer science field related to the position's role.
  • Related information technology experience may be substituted year for year for the required education.
  • Must possess a current, valid driver’s license.
