Job Summary
We are seeking an experienced Facility Administration – Assistant Manager to oversee and coordinate daily facility and administrative operations for a corporate office. The role involves managing vendors, security, office infrastructure, travel administration, and ensuring smooth office operations in compliance with company policies and regulatory standards.
Mandatory Requirement:
Candidates must have hands-on experience in arranging international travel and visa processing.
Key Responsibilities:
- Coordinate a range of administrative and facility services to ensure efficient office operations
- Manage facility operations including maintenance, repairs, security, housekeeping, and vendor coordination
- Review maintenance and service vendor contracts and assist with recommendations for approvals
- Maintain office inventory and ensure availability of supplies for office and pantry
- Ensure compliance with safety, security, environmental, and statutory requirements
- Provide administrative support to ensure accurate and timely completion of tasks
- Handle facility management, vendor management, and security management activities
- Develop, review, and improve administrative systems, policies, and procedures
- Oversee procurement of office supplies and maintain accurate expense and vendor records
- Coordinate office events, meetings, and conferences
- Build and manage strong relationships with service vendors
- Oversee operation and maintenance of electrical systems, air-conditioning, internet connectivity, CCTV, and other infrastructure
- Identify, onboard, and manage vendors under cost-effective contracts and SLAs
- Negotiate annual renewals and contracts with service providers
- Liaise with government agencies, manage compliance documentation, and maintain evaluation records
- Ensure effective security operations, compliance, and staff training
- Administer end-to-end travel and accommodation management, including international travel and visas
- Audit administrative processes to improve service quality
- Manage infrastructure projects such as renovations, new office setup, or branch expansion
Requirements:
- Graduate with 8–10 years of experience as an Assistant Manager / Admin Manager in a corporate office environment
- Proven experience in facility administration and office operations
- Hands-on experience managing multiple infrastructure projects from planning to completion
- Experience handling administrative operations across multiple office locations
- Strong understanding of office management procedures, policies, and legal requirements
- Proficiency in standard office tools and systems
- Strong organizational and record-keeping skills
- Excellent verbal and written communication skills
- Ability to multitask, work independently, and collaborate effectively with teams
- High level of integrity and professionalism
- Strong interpersonal skills and ability to work with stakeholders at all levels
Job Type: Full-time
Pay: ₹66,000.00 - ₹92,000.00 per month
