One of our residential properties in the stadium district is looking for a Facilities and Maintenance Manager to oversee all facility and maintenance operations. The property is 116 units.
Position Summary
The Facilities & Maintenance Manager is responsible for the overall care, maintenance, and operation of our residential condominium property, systems, and vendor contracts. This role ensures the building is safe, well-maintained, and welcoming for owners and residents.
In addition to coordinating vendors and contractors, the Facilities & Maintenance Manager is expected to perform routine maintenance tasks (e.g., light bulb replacement, paint touch-ups, minor fixes, and equipment troubleshooting). The role balances hands-on work with day-to-day operations, conducts end to end vendor management, and open communication with owners/residents, the Community Association Manager, and the Board of Directors.
Salary: Starting at $23.65 per hour plus 2-bedroom unit & utilities
Benefits: Medical, dental and vision coverage (100% paid for employee portion), paid time off and holiday and 401(k)plan
Schedule: Monday-Friday, days and on call as needed for the property
Key Responsibilities
Resident & Owner Service
● Serve as a visible, approachable primary point of contact for owners and residents.
● Communicate promptly, clearly, and professionally, explaining not just “what” but “why” when enforcing rules.
● Identify and take-action to implement and enforce community Rules and Regulations.
● Create a welcoming and solution-focused atmosphere while keeping the Board’s long-term mission in view.
● Maintains a highly-organized and clutter free workspace/office, maintenance shops and common areas.
Facilities & Operations
● Perform routine maintenance tasks (touch-up painting, replacing lightbulbs, minor plumbing/electrical, small repairs).
● Oversee and maintain accurate records of all building systems and preventive maintenance (HVAC, plumbing, elevators, fire safety).
● Develop and maintain standard operating procedures for ongoing maintenance.
● Conduct regular building walks to proactively identify and address any issues.
Vendor & Contract Management
● Manage service contracts (janitorial, landscaping, maintenance).
● Monitor vendor performance and ensure quality/compliance.
● Obtain and negotiate bids for approved projects and/or work within scope of role, balance cost-effective with quality options.
● Approve work within budget guidelines and coordinate with the Community Manager on invoices.
Project Management
● Apply project management skills to oversee and execute building-related initiatives, ensuring they are completed on time, within budget, and to the required quality standards.
● Manage projects ranging from routine maintenance to minor renovations, coordinating staff, vendors, and resources effectively.
● Track progress, anticipate challenges, and proactively communicate updates and recommendations to the Board and Community Association Manager.
● Integrate project management principles into daily operations to ensure all tasks, from preventive maintenance to larger building initiatives are planned, organized, and executed efficiently.
Safety & Emergency Preparedness
● Ensure compliance with OSHA and local, state, and federal regulations.
● Act as Fire Life Safety Director; oversee testing and maintenance of fire, sprinkler, alarm, and emergency generator systems.
● Act as the on-site contact for emergencies, coordinating with first responders and guiding residents per protocol.
Reporting & Board Communication
● Provide monthly written reports on building operations and project updates.
● Attend Board meetings to present updates, answer questions, and make recommendations.
● Maintain ongoing communication with Board leadership and the Community Association Manager.
● Share resident communications regarding projects, construction, or emergent issues proactively.
Qualifications
Experience
● 3+ years of facilities management, property management, and/or related building operations experience.
● Supervisory experience managing teams of 3 or more staff.
● Proficient in project management principles, including planning, budgeting, scheduling, and quality oversight.
● Proven excellence in customer service and administration.
● Work independently and provide leadership in times of uncertainty.
● Experience performing routine maintenance tasks and coordinating vendor work.
● Demonstrated ability to maintain financial records and use good judgement in ambiguous situations.
Skills & Knowledge
● Excellent conflict resolution skills with clear communication and interpersonal skills.
● Knowledge of project management principles and preventive maintenance practices.
● Highly organized with strong attention to detail.
● Proficient in Microsoft Office Suite (Excel, Outlook) and able to learn new building/security software.
● Ability to train, develop, and motivate staff.
● Strong problem-solving and analytical skills.
Physical & Environmental Requirements
● Able to lift up to 50 lbs.
● Willingness to work outdoors in varying conditions (e.g., snow removal, leaf blowing).
● Comfortable working around cleaning products.
● Ability to perform fine motor tasks (keyboard, phone, tools).
