Job Purpose
The Facility Coordinator is responsible for coordinating daily facility management operations, assigning and monitoring service requests, and ensuring smooth communication between clients, technicians, and management. The role supports timely service delivery, accurate reporting, and high levels of customer satisfaction.
Key Responsibilities1. Service Coordination & Task Management
· Receive, log, and assign service complaints / work orders (AC, electrical, plumbing, civil, etc.)
· Coordinate with technicians and supervisors for job allocation and prioritization
· Track job status from assignment to completion
· Ensure technicians follow scheduled timelines and service standards
2. Technician & Field Operations Support
· Monitor technician attendance, deployment, and availability
· Follow up on job acceptance, arrival, and closure
· Coordinate emergency and breakdown calls
· Collect daily work updates and service reports from field staff
3. Customer Communication
· Act as a single point of contact for clients regarding service requests
· Provide job status updates and ensure customer concerns are addressed
· Escalate delays or issues to the Facility Manager when required
4. Documentation & Reporting
· Maintain accurate records of work orders, complaints, and service closures
· Track technician performance and productivity
· Assist in preparing daily, weekly, and monthly operational reports
· Ensure AMC and service-related documentation is properly updated
5. System & Process Support
· Use field service / task management software (e.g., TrackOlap, Zoho FSM, or internal systems)
· Ensure technicians correctly update job status, photos, and service notes
· Support implementation of new systems, SOPs, and process improvements
6. Compliance & Coordination
· Ensure technicians follow safety guidelines and PPE requirements
· Coordinate with stores/spares team for material availability
· Support audits, inspections, and management reviews
7_. Business Development & Client Relationship Support_
Skills & Competencies
· Strong coordination and follow-up skills
· Good communication in English (Hindi / Malayalam / Tamil is an advantage)
· Basic knowledge of facility management services
· Ability to handle multiple tasks and pressure situations
· Basic computer skills (MS Excel, email, service software)
Qualifications & Experience
· Diploma / Bachelor’s degree (preferred)
· 1–3 years’ experience in facility management or contracting coordination
· Experience in UAE facility management environment is an advantage
Job Types: Full-time, Fresher
Pay: AED3,000.00 - AED4,000.00 per month
