Role Overview
The Facilities & Administration Officer will be responsible for ensuring the smooth day-to-day functioning of the workspace by managing repairs and maintenance, coordinating with multiple vendors, supervising cleaning staff, and overseeing office supplies and consumables.
This role is critical in maintaining a professional, safe, and efficient work environment for members, staff, and visitors.
Key Responsibilities1. Repairs & Maintenance
- Coordinate and oversee routine and emergency maintenance (electrical, plumbing, HVAC, internet cabling, furniture, fixtures).
- Conduct regular facility inspections to identify maintenance issues and ensure timely resolution.
- Maintain a log of maintenance issues, work orders, and resolutions.
- Liaise with technicians and ensure work is completed to required standards.
2. Vendor Coordination
- Manage relationships with multiple vendors (maintenance contractors, cleaners, suppliers).
- Obtain quotations, compare costs, and coordinate approvals where required.
- Schedule vendor visits and supervise work on-site.
- Ensure vendors comply with agreed service levels and timelines.
3. Cleaning & Housekeeping Supervision
- Supervise cleaning staff and outsourced housekeeping services.
- Ensure cleanliness standards are maintained across offices, common areas, washrooms, and pantry.
- Manage cleaning schedules and ensure availability of cleaning materials.
- Report and address hygiene or cleanliness issues promptly.
4. Office Supplies & Inventory Management
- Manage procurement and inventory of office supplies, pantry items, and consumables.
- Track usage levels and ensure timely replenishment.
- Maintain inventory records and control wastage.
- Coordinate with accounts for purchase orders and payments.
5. Administration & Reporting
- Maintain documentation related to vendors, maintenance, and inventory.
- Prepare basic reports on maintenance costs, vendor performance, and inventory usage.
- Support management with facility-related planning and improvements.
6. Health, Safety & Compliance
- Ensure basic workplace safety standards are followed.
- Coordinate fire safety equipment checks and emergency preparedness where applicable.
- Report safety hazards and recommend corrective actions.
Job Type: Full-time
Pay: Rs40,000.00 - Rs60,000.00 per month
