Job Summary

The Factory Admin / Operations & HR Manager will be responsible for managing day-to-day administrative operations, HR coordination, documentation, compliance, risk management, and overall local management of the factory. The role requires strong organizational skills, coordination with departments, and ensuring smooth factory operations.

Roles & Responsibilities

1. Local Management

Oversee day-to-day factory administrative operations

Act as a local point of contact for management, staff, and vendors

Ensure smooth coordination between departments

2. Documentation & Record Keeping

Maintain all factory-related documentation using MS Office

Ensure proper filing, updating, and retrieval of records

Handle HR and operational documents accurately

3. Data Maintenance & Reporting

Maintain daily operational and attendance data

Prepare reports related to manpower, productivity, and admin activities

Ensure accuracy and confidentiality of data

4. HR & Attendance Management

Manage biometric attendance system

Monitor shifts, login–logout timing, leave records, and overtime

Coordinate with HR for payroll-related attendance data

5. Time Management & Daily Monitoring

Monitor daily activities across departments

Ensure timely completion of tasks and proper workforce utilization

Track discipline, punctuality, and housekeeping standards

6. Inter-Department Coordination

Coordinate with all departments for documentation and daily monitoring

Support operational requirements and follow-ups

Ensure communication flow between management and staff

7. Stationery & Office Supplies Management

Arrange and monitor stationery and office supplies

Maintain inventory and avoid shortages or excess stock

Coordinate with vendors for timely procurement

8. Risk Management

Identify and manage risks related to machinery and manpower

Support safety practices and preventive measures

Coordinate during breakdowns or emergency situations

9. Compliance Management

Ensure adherence to factory rules, policies, and statutory requirements

Maintain compliance-related records and documentation

Support audits and inspections when required

10. Grievance & Complaint Handling

Handle employee grievances and complaints professionally

Prepare reports related to complaints and labor-related issues

Assist in resolving labor disputes and strike-related risks

Key Skills & Competencies
