Position Summary:

The role of the Faculty Administrative Assistant is to support the day-to-day operations of the Faculty Executive office suite. This individual is primarily responsible for providing administrative and clerical services for members of the faculty, but also assists students as needed, and collaborates with other law school and university departments. This position requires flexibility, strong organizational and multi-tasking abilities. The Faculty Administrative Assistant also works closely with the Associate Dean of Academic Affairs on matters pertaining to final exam scheduling , classroom scheduling, adjunct orientation, ordering textbooks, and other, similar functions. The person in this highly visible office setting must demonstrate utmost professionalism, exercise common courtesy, accuracy, efficiency, and maintain a cooperative relationship with faculty, staff, students, and visitors.

Essential Duties and Responsibilities:

  • Provide administrative support for faculty, adjunct faculty, and guest lecturers

  • Respond promptly and courteously to all phone, email and in person inquiries, providing exceptional customer service

  • Compose and/or edit correspondence on behalf of faculty and administration

  • Copy/print materials for faculty and administration as requested

  • Process incoming and outgoing mail

  • Monitor, order and maintain office and kitchen supplies

  • Maintain calendars, schedule and coordinate appointments and meetings

  • Add class announcements/information to Blackboard software

  • Identify student final exam conflicts, and arrange for exam rescheduling

  • Obtain and assemble mid-term and final exam documents

  • Recruit, schedule and train faculty exam proctors

  • Organize student exam reviews

  • Solicit agenda items, compose the agenda and serve as scribe for monthly faculty meetings

  • Assist with new employee onboarding/training

  • Produce university identification badges

  • Maintain student locker keys, log, and assignments

  • Order complimentary copies of textbooks for professors

  • Make travel arrangements, and submit travel and other expense reports, particularly for the competitive advocacy programing

  • Assist faculty committees

  • Assist in managing special events

  • Serve as liaison to campus offices requiring university communications – business office, provost, registrar, bookstore, library, etc.

  • Handle classroom scheduling and monitoring

  • Uphold and abide by Campbell University policies and procedures, including, but not limited to; Title IX, and FERPA guidelines

  • Maintain a professional appearance and demeanor at all times

  • Other job-related duties, responsibilities and activities may change or be assigned at any time with or without notice

Education/Experience:

  • Associates degree, or the equivalent in education and experience required; Bachelor’s degree desired

  • Minimum one-year administrative experience in a professional office setting required

  • Experience in a higher education, law firm or related setting desired

Knowledge, Skills, and Abilities:

  • Excellent written communication and proofreading skills for preparing correspondence, documents, reports, utilizing correct spelling, grammar and punctuation

  • Superior verbal and interpersonal communication skills for effectively interacting with individuals at various levels within the organization

  • Proficiency with Microsoft Word, Outlook, Excel and the Internet, prefer experience with Blackboard and EBB

  • Excellent computer skills including the ability to learn and use University data systems

  • Detail oriented and able to produce highly accurate work

  • Ability to exercise good judgement in sensitive, complex and/or new situations

  • Ability to maintain confidentiality at all times

  • Ability to set priorities, organize, coordinate duties with other administrative personnel, and work under pressure in a dynamic environment

  • Self-motivated, with the ability to anticipate needs and initiate action

  • Demonstrate tact, a positive attitude, courtesy and discretion in dealing with faculty, staff, students, and the public

  • Manage multiple, concurrent projects, and meet strict deadlines

  • Work independently as well as function effectively in a team within a diverse group of people

  • This position demands accuracy, honesty, integrity and the ability to work within the Christian mission of Campbell University
