Job Description –Family Office Coordinator
The Family Office Coordinator will provide comprehensive personal and administrative support to multiple principals/owners and their families. The role is primarily personal in nature and differs from a standard corporate position. Responsibilities include managing household operations, coordinating family and travel requirements, handling confidential matters, and ensuring smooth day-to-day support for the principals.
Key Responsibilities
- Provide dedicated support to multiple principals/owners and manage their personal and administrative requirements efficiently.
- Manage travel arrangements, including flight bookings.
- Coordinate school-related requirements for children, including documentation, schedules, and communication as required.
- Screen, source, and coordinate the hiring process for household staff such as drivers, housemaids, chauffeurs, and other domestic personnel.
- Handle renewal and processing of vehicle registrations, insurance, driver’s licenses, permits, and related documentation.
- Manage high-value assets, including vehicles, residences, memberships, and service provider coordination.
- Prepare and maintain confidential documents, records, travel files, reports, and executive correspondence.
- Handle calls, messages, and communications with professionalism, discretion, and confidentiality.
- Coordinate personal errands, family-related matters with strong attention to detail.
- Support entity setup, compliance requirements, renewal of official documents, and maintenance of accurate records.
- Remain accessible beyond standard working hours and maintain communication availability on a 24/7 basis for urgent matters.
- Represent the principals professionally at all times while maintaining absolute confidentiality and discretion.
Qualifications & Requirements
- Proven experience as a Family Office Coordinator, or in a similar role supporting high-profile individuals or families.
- Experience in recruiting and managing household staff, including drivers and housemaids.
- Strong knowledge of travel coordination, scheduling, and personal administration.
- Ability to manage multiple priorities and work in a fast-paced, demanding environment.
- Excellent communication and interpersonal skills.
- Highly organized, detail-oriented, and capable of handling confidential information with discretion.
- Flexible and willing to work beyond regular office hours when required.
- Valid UAE driver’s license is mandatory.
- Proficient in Microsoft Office applications and administrative systems.
Pay: AED5,000.00 - AED6,000.00 per month
