DESCRIPTION & PURPOSE:
The Family Support Assistant plays a vital role in supporting the Family Services Department by assisting with client intake, administrative coordination, and communication across multiple programs and funding sources. This position supports staff, volunteers, and clients at the front desk and serves as a key point of contact for families seeking assistance, as well as working with Marketing and administration in providing detail on all Families Served for reporting and marketing purposes.
KEY RESPONSIBILITIES
· Serve as the first point of contact for clients and visitors; provide courteous, professional, and accurate information.
· Maintain detailed and organized client and program files (digital and physical).
· Support staff by preparing materials, forms, and communications for various housing and repair programs.
· Process and track applications and documentation for Habitat programs.
· Coordinate with staff, volunteers, and partner organizations to ensure accurate and timely information sharing.
· Create and maintain internal tracking tools (Excel spreadsheets, shared Teams folders, etc.) to support program compliance and reporting.
· Provide clerical and administrative support such as data entry, scheduling, scanning, filing, printing, and mailing.
· Prepare summary sheets, reports, or communications as directed by the Family Services Manager.
· Participate in community trainings to strengthen knowledge of housing services, homelessness prevention, and resource navigation.
· Represent Habitat professionally in all interactions with families, community partners, and donors.
· Assist with front-desk coverage, office supplies, and volunteer coordination as needed.
· Perform other duties as assigned to support the success of the department and organization.
QUALIFICATIONS
· Minimum 2 years of office or administrative experience (nonprofit or housing-related experience preferred).
· Proficiency in Microsoft Word, Excel, Teams, and Outlook is required.
· Strong written and verbal communication skills.
· Excellent organizational skills and attention to detail.
· Ability to manage multiple tasks, prioritize deadlines, and take initiative with minimal supervision.
· Professional, dependable, and solution-oriented attitude.
· Willingness to learn about affordable housing programs and community resources.
· Must be 18 years or older and able to pass a background check and drug screening.

SALARY & BENEFITS
· Starting Pay: $20/hour (30-40 hours per week)
· Thrivent Financial Retirement Matching Plan: Up to 3% of salary after 90 days
· Holiday Pay: After 1 year of employment
· Vacation Pay: After 2 years of employment
