Job Title: Female Administrative Assistant - Receptionist

Role Overview:

We are seeking a professional, organized, and friendly Receptionist to be the welcoming face of our Project Management firm. This role is ideal for someone who thrives in a dynamic environment, enjoys supporting both office and field teams, and can juggle multiple responsibilities with confidence.

Key Responsibilities:

1. Front Desk & Client Interaction

  • Greet clients, vendors, and guests with a warm and professional demeanor
  • Answer, screen, and direct phone calls and emails
  • Manage the reception area to ensure it is clean, tidy, and representative of our brand
  • Provide refreshments and hospitality during client visits

2. Administrative Support

  • Schedule meetings, site visits, and project-related appointments
  • Noting down Minutes of Meetings held at the office for important projects
  • Assist with calendar management for project managers and executives
  • Prepare and organize project documents, files, invoices, and correspondence
  • Support HR and operations with onboarding documents, timesheets, and recordkeeping
  • Maintain office supplies, order materials, and coordinate deliveries

3. Project & Team Coordination

  • Assist project managers with document tracking, submittals, and RFI/log updates
  • Coordinate with vendors, subcontractors, and suppliers for document pickup/drop-off
  • Support the team with general workflow tasks and communication needs

4. Office Operations

  • Handle incoming/outgoing mail and package management
  • Coordinate maintenance for office equipment and facility needs
  • Assist with expense reports, purchase orders, and basic bookkeeping tasks

Requirements /Qualifications:

  • 1–3 years of receptionist or administrative experience (construction/fit-out or design industry is a plus)
  • Excellent written and verbal communication skills (English and Arabic)
  • Strong organization skills and ability to multitask effectively
  • Friendly, professional, and customer-service oriented
  • Comfortable working in a fast-paced environment
  • Proficiency in MS Office (Word, Excel, Outlook);
