Job Description for Secretery

Secretery Responsibility

  • Answer phone calls and redirect them when necessary
  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
  • Prepare and disseminate correspondence, memos and forms
  • File and update contact information of employees, customers, suppliers and external partners
  • Support and facilitate the completion of regular reports
  • Develop and maintain archiving system
  • Check frequently the levels of office supplies and place appropriate orders
  • Make travel arrangements
  • Document expenses and hand in reports
  • Undertake occasional receptionist duties

Office Coordinator Responsibility

1. Supporting other teams with various administrative tasks

2. Drafts of internal office and external memos and documents business related email exchange

3. Coordinate with Sales/other dept. team to generate the monthly reports and do the summery to provide for high management.

4. Prepares and consolidates department reports (Sales Performance, Quotation, 90 days activity, Order List, conversion, etc.) on a regular basis.

5. All commitments gathered from and/or to others must be documented through e-mail with proper filing.

6. Proper Filing for Monthly report

7. Support Top management with their daily operation requirements.

Skills:

Excellent in English ( R/W)

Good Knowledge with Microsoft Office; Email, Word, Excell, Power Point...

Excellent in Communication skills

Ability to commute/relocate:

  • Abu Dhabi: Reliably commute or planning to relocate before starting work (Preferred)

Experience:

  • receptionist/secretary: 2 years (Preferred)

Language:

  • Arabic (Preferred)
