Job Title: Receptionist
The Receptionist will serve as the first point of contact for the organization, ensuring a professional, welcoming, and efficient front-desk experience. This role is responsible for managing reception operations, handling communication, supporting administrative tasks, and maintaining a positive image of the company while complying with company policies and local regulations.
Experience:
Candidates must have experience in the UAE. Experience in the Events & Exhibition Industry is preferred.
Qualification:
Previous work experience as a Receptionist or Front Desk Executive, preferably within the Events & Exhibition Industry.
Key Responsibilities and Duties1. Front Desk & Visitor Management
- Greet, welcome, and assist visitors, clients, and guests in a professional and courteous manner.
- Direct visitors to the appropriate departments and notify staff of arrivals.
- Maintain visitor logs and ensure adherence to security and access protocols.
- Ensure the reception area is clean, organized, and presentable at all times.
2. Communication & Coordination
- Handle incoming calls, screen and forward them appropriately, and take accurate messages.
- Manage general email inquiries and direct them to the relevant departments.
- Coordinate meeting room bookings and ensure rooms are prepared in advance.
- Liaise with internal teams to ensure smooth front-office communication.
3. Administrative Support
- Provide general administrative assistance, including data entry, filing, and document management.
- Handle incoming and outgoing mail, couriers, and deliveries.
- Assist HR and Admin teams with basic support tasks as required.
- Maintain office records related to reception and administrative activities.
4. Customer Service & Professional Image
- Deliver a high standard of customer service to visitors, clients, and employees.
- Address basic inquiries and escalate issues when necessary.
- Support overall service quality and contribute to a positive workplace environment.
Skills and Qualifications
- Proven experience as a Receptionist or Front Desk Executive (1–3 years preferred).
- UAE work experience required; Events & Exhibition Industry experience is an advantage.
- Excellent verbal and written communication skills.
- Strong interpersonal, organizational, and multitasking abilities.
- Proficiency in MS Office and basic office systems.
- Professional appearance and positive attitude.
- Ability to work independently and as part of a team.
Education:
Bachelor’s degree or Diploma in Business Administration or a related field is preferred.
