Job Summary
We are seeking a detail-oriented and proactive Female Receptionist/Admin Coordinator with strong Arabic and English communication skills to support our fragrance Research & Development (R&D) Laboratory at Dubai. The role is critical in ensuring smooth day-to-day administrative operations, coordination between internal departments, and compliance with laboratory and regulatory requirements.
Key Responsibilities
- Provide full administrative support to the Fragrance R&D team, including scheduling, documentation, and coordination of daily activities.
- Act as a key point of contact between the R&D lab, internal departments (Procurement, HR, Finance, Quality), and external vendors.
- Coordinate meetings, prepare agendas, take minutes, and follow up on action items.
- Maintain accurate records for lab documentation, sample logs, formulations, MSDS, test reports, and approvals.
- Assist in preparing documents for regulatory, audit, and compliance requirements related to fragrance development.
- Ensure proper filing and confidentiality of R&D data and sensitive information.
- Coordinate with Procurement for lab consumables, raw materials, fragrance ingredients, and equipment.
- Track inventory levels, raise purchase requisitions, and follow up on deliveries to ensure uninterrupted lab operations.
- Maintain records of suppliers and service providers related to R&D activities.
- Support Arabic–English translation and communication for internal coordination, local authorities, suppliers, and service providers when required.
- Draft professional correspondence, reports, and internal communications in both Arabic and English.
- Assist with onboarding of new R&D staff, visitors, and external consultants to the lab.
- Coordinate maintenance, calibration schedules, and service visits for lab equipment.
- Support management with ad-hoc administrative tasks and reporting as required.
Requirements
- Bachelor’s degree or diploma in Business Administration or Office Management
- Fluent in Arabic and English (spoken and written) which is mandatory
- Minimum 2 to 4 years of experience in an administrative or coordination role, preferably within R&D, laboratory, manufacturing, or fragrance industries
- Strong organizational, time management, and multitasking skills
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint); experience with ERP systems is an advantage
- Ability to handle confidential information with discretion
- Well-presented, professional, and able to work effectively in a multicultural environment
- Valid UAE Driving License is an added advantage

Pay: AED3,000.00 - AED5,000.00 per month
