Key ResponsibilitiesAdministrative Support
- Manage the VP’s calendar, schedule meetings, and coordinate appointments.
- Handle incoming communications (emails, calls, correspondence) and prioritize as needed.
- Prepare and edit documents, reports, presentations, memos, and meeting minutes.
- Maintain organized electronic and physical filing systems for confidential documents.
Coordination & Communication
- Serve as the primary point of contact between the VP and internal/external stakeholders.
- Coordinate cross-departmental communication, especially with project managers, site engineers, and procurement.
- Assist in preparing meeting agendas and follow-up notes.
Project & Office Support
- Track project deadlines, deliverables, and key milestones at the direction of the VP.
- Support preparation of tender documents, contracts, and project documentation.
- Assist in coordinating site visits, inspections, and travel arrangements.
- Monitor and organize project-related documentation to ensure timely flow of information.
Qualifications & Requirements
- Diploma or Bachelor’s degree in Business Administration, Office Management, or related field.
- Minimum 3–5 years of administrative experience, preferably in construction, engineering, or real estate.
- Strong English communication skills (Arabic is a plus).
- Proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
- Excellent organizational, time management, and multitasking abilities.
- Ability to work under pressure and handle urgent tasks professionally.
- Strong attention to detail and a high level of discretion.
