Job Description:
We are seeking a highly organized and detail-oriented File Clerk to join our law firm. This role is responsible for managing incoming documents—including mail, faxes, and medical records—maintaining accurate filing systems, and supporting general office operations. The ideal candidate is dependable, proactive, and comfortable working in a fast-paced legal environment.
Key Responsibilities
Document Management & Filing
- Receive, sort, and distribute incoming mail and faxes.
- Organize and file physical and electronic documents, including legal correspondence and medical records into client files.
- Maintain filing systems to ensure accuracy, confidentiality, and easy retrieval of records.
- Assist with preparing files for attorneys and staff as needed.
Office Maintenance & Administrative Support
- Monitor and restock office supplies, ensuring inventory is maintained at appropriate levels.
- Order office equipment and coordinate maintenance or repairs when necessary.
- Keep common areas organized, clean, and functioning efficiently.
- Handle highly sensitive information in accordance with firm policies and legal confidentiality requirements.
- Follow established procedures for file retention, storage, and disposal.
Qualifications
- High school diploma or equivalent required.
- Prior experience in a law firm or administrative/clerical role preferred.
- Strong attention to detail and accuracy.
- Excellent organizational, time management skills and able to multitask.
- Ability to handle confidential information with integrity.
- Comfortable working with office equipment (copiers, scanners, fax machines) and basic computer programs, including Microsoft Office or document management systems.
- Reliable and self-motivated.
- Strong communication and interpersonal skills.
Pay: $15.00 - $17.00 per hour
