Job Summary:
The Filing Clerk is responsible for organizing, maintaining, and managing physical and digital records and files. The role ensures documents are stored accurately, easily retrievable, and handled in compliance with company policies and confidentiality standards.
Key Responsibilities:
Filing & Record Management
- Organize, categorize, and file documents, records, and correspondence systematically.
- Maintain accurate physical and electronic filing systems.
- Retrieve files and documents promptly as requested by staff or management.
- Archive old or inactive files following company retention policies.
Documentation & Accuracy
- Ensure all files and documents are complete, labeled, and stored correctly.
- Update records regularly to reflect current information.
- Verify documents for accuracy and proper authorization before filing.
Support & Coordination
- Assist administrative staff in preparing and managing records.
- Coordinate with departments to collect and file necessary documents.
- Handle confidential and sensitive information with discretion.
- Assist in scanning and digitizing records for electronic filing systems.
Reporting & Compliance
- Maintain logs of documents received, issued, or archived.
- Support audits by providing organized files and records.
- Ensure compliance with company filing policies and legal requirements.
Skills & Requirements:
- Proven experience as a Filing Clerk, Records Clerk, or similar role.
- Knowledge of filing systems and document management procedures.
- Strong attention to detail and organizational skills.
- Basic computer skills, including MS Office (Word, Excel) and database systems.
- Ability to handle confidential information with discretion.
- Good communication skills and reliability.
Qualifications:
- High school diploma or equivalent; diploma in Office Administration is a plus.
- 1–3 years of relevant experience in filing, record keeping, or administrative support.
- Familiarity with electronic filing systems or document management software is an advantage.
