Finance and Administration Manager

Position Summary

The Finance & Administrative Operations Manager is responsible for the financial management, compliance, and day-to-day administrative functioning of NPDC. This role serves as the operational backbone of the organization—ensuring that financial systems are accurate, compliance requirements are met, and core administrative functions run smoothly and consistently.

This is a hands-on role within a lean and growing organization. In addition to overseeing accounting, HR compliance, and grant reporting, the position also ensures continuity in office operations and administrative coordination so that nothing falls through the cracks.

The ideal candidate is highly organized, self-directed, and comfortable owning both detailed financial work and essential operational support functions.

Key Responsibilities

Accounting & Financial Management (Primary Responsibility)

  • Manage day-to-day bookkeeping using QuickBooks and Bill.com
  • Process and reconcile a high volume of financial transactions, including invoices, vendor payments, and reimbursements
  • Maintain accurate, audit-ready financial records
  • Prepare monthly and quarterly financial reports for the Executive Director and Board
  • Maintain vendor records and supporting documentation
  • Coordinate with external CPA and auditors on tax filings, regulatory reporting, and annual audits
  • Maintain strong internal controls and financial processes

Human Resources & Organizational Compliance

  • Manage HR compliance for approximately 18 employees, including personnel files, documentation, and benefits coordination
  • Coordinate payroll processing with external provider
  • Support implementation and maintenance of HR policies and procedures
  • Partner with leadership on HR-related matters, escalating issues as needed

Grants Administration & Reporting

  • Track grant expenditures and maintain required documentation
  • Monitor reporting deadlines and ensure timely submissions
  • Prepare and submit financial and administrative grant reports

Administrative & Office Operations

  • Serve as the primary point of contact for incoming calls; monitor voicemail and ensure timely follow-up
  • Check, sort, and distribute incoming mail; manage correspondence tracking
  • Maintain office supplies and coordinate ordering
  • Support ongoing contract compliance, including routine document uploads and file management
  • Maintain organized digital and physical filing systems across financial, HR, and operational records
  • Provide light administrative coordination support to leadership as needed
  • Ensure the office environment remains organized, functional, and responsive

Qualifications

  • Minimum 3 years of experience in financial management, bookkeeping, or operational administration
  • Experience with HR compliance and/or grant administration strongly preferred
  • Comfortable working across financial and administrative systems
  • Detail-oriented with strong organizational instincts and follow-through
  • Proven ability to manage recurring processes and deadlines without oversight
  • Self-directed and reliable; able to independently own a broad scope of responsibilities
  • Ability to operate effectively in a lean organization where responsibilities may span functions
  • Experience with nonprofit, tribal, or government-funded organizations is a plus

Compensation

$55,000 – $63,000 to start, depending on experience; 100% employer paid health, dental, vision, and life insurance.
