Job Overview:
We are looking for a detail-oriented Finance Executive to support our Finance team. The primary responsibility of this role is to manage the company's day-to-day bookkeeping within our Zoho Books ERP system. The ideal candidate will have a strong grasp of accounting principles, be proficient in using Zoho, and be responsible for generating accurate and timely reports for Accounts Receivable, Accounts Payable, and Sales/Purchase Orders.

Key Responsibilities:

Bookkeeping & ERP Management:

  • Manage all aspects of day-to-day bookkeeping and ensure accuracy in financial records.
  • Record all financial transactions in the Zoho Books ERP system, including invoices, payments, expenses, and bank reconciliations.
  • Maintain and update the chart of accounts.
  • Ensure the integrity and accuracy of all data entered into the Zoho system.

Accounts Receivable (AR):

  • Prepare and issue customer invoices and credit notes in a timely manner.
  • Monitor customer accounts for timely collections and follow up on overdue payments.
  • Generate and analyze AR aging reports and provide updates to the Finance Manager.
  • Reconcile customer statements and resolve any discrepancies.

Accounts Payable (AP):

  • Process vendor invoices, verify them against purchase orders, and ensure proper approval.
  • Prepare and process payments to vendors as per payment terms.
  • Generate and analyze AP aging reports to manage cash flow effectively.
  • Maintain good relationships with suppliers and resolve any invoice-related queries.

Sales and Purchase Orders:

  • Assist in the creation and management of Sales Orders and Purchase Orders within Zoho.
  • Ensure POs are matched with received goods/services and corresponding invoices.
  • Generate reports on order status, sales performance, and procurement activities.

Reporting & Analysis:

  • Prepare regular financial reports (AR/AP Aging, Sales/Purchase Registers, etc.) for management review.
  • Assist in the preparation of monthly, quarterly, and year-end financial closing activities.
  • Support with other ad-hoc financial analysis and reporting as required.

Qualifications and Skills:

  • Bachelor’s degree in Finance, Accounting, or a related field. ACCA Candidates
  • A minimum of 2-3 years of proven experience as a Finance Executive, Accountant, or in a similar role.
  • Mandatory: Hands-on experience with Zoho Books ERP system is highly preferred. Candidates with experience in other ERPs (like Tally, QuickBooks, Oracle) and a willingness to learn Zoho quickly will also be considered.
  • Solid understanding of basic accounting principles (AR, AP, GL, Reconciliation).
  • Proficiency in MS Excel (Pivot Tables, VLOOKUPs, etc.) for data analysis and reporting.
  • High level of accuracy and attention to detail.
  • Strong organizational and time-management skills, with the ability to meet deadlines.
  • Excellent communication skills in English (both written and verbal).
  • Ability to work independently as well as collaboratively in a team environment.
