Job Overview:
We are looking for a detail-oriented Finance Executive to support our Finance team. The primary responsibility of this role is to manage the company's day-to-day bookkeeping within our Zoho Books ERP system. The ideal candidate will have a strong grasp of accounting principles, be proficient in using Zoho, and be responsible for generating accurate and timely reports for Accounts Receivable, Accounts Payable, and Sales/Purchase Orders.
Key Responsibilities:
Bookkeeping & ERP Management:
- Manage all aspects of day-to-day bookkeeping and ensure accuracy in financial records.
- Record all financial transactions in the Zoho Books ERP system, including invoices, payments, expenses, and bank reconciliations.
- Maintain and update the chart of accounts.
- Ensure the integrity and accuracy of all data entered into the Zoho system.
Accounts Receivable (AR):
- Prepare and issue customer invoices and credit notes in a timely manner.
- Monitor customer accounts for timely collections and follow up on overdue payments.
- Generate and analyze AR aging reports and provide updates to the Finance Manager.
- Reconcile customer statements and resolve any discrepancies.
Accounts Payable (AP):
- Process vendor invoices, verify them against purchase orders, and ensure proper approval.
- Prepare and process payments to vendors as per payment terms.
- Generate and analyze AP aging reports to manage cash flow effectively.
- Maintain good relationships with suppliers and resolve any invoice-related queries.
Sales and Purchase Orders:
- Assist in the creation and management of Sales Orders and Purchase Orders within Zoho.
- Ensure POs are matched with received goods/services and corresponding invoices.
- Generate reports on order status, sales performance, and procurement activities.
Reporting & Analysis:
- Prepare regular financial reports (AR/AP Aging, Sales/Purchase Registers, etc.) for management review.
- Assist in the preparation of monthly, quarterly, and year-end financial closing activities.
- Support with other ad-hoc financial analysis and reporting as required.
Qualifications and Skills:
- Bachelor’s degree in Finance, Accounting, or a related field. ACCA Candidates
- A minimum of 2-3 years of proven experience as a Finance Executive, Accountant, or in a similar role.
- Mandatory: Hands-on experience with Zoho Books ERP system is highly preferred. Candidates with experience in other ERPs (like Tally, QuickBooks, Oracle) and a willingness to learn Zoho quickly will also be considered.
- Solid understanding of basic accounting principles (AR, AP, GL, Reconciliation).
- Proficiency in MS Excel (Pivot Tables, VLOOKUPs, etc.) for data analysis and reporting.
- High level of accuracy and attention to detail.
- Strong organizational and time-management skills, with the ability to meet deadlines.
- Excellent communication skills in English (both written and verbal).
- Ability to work independently as well as collaboratively in a team environment.
