Financial Administrative Assistant

At Easterseals PORT Health (ESPH), our mission is rooted in empowering individuals and strengthening communities. We are seeking a detail-oriented and dependable Financial Administrative Assistant to provide administrative and clerical support to the Finance team, ensuring accurate financial documentation, timely processing of transactions, and efficient office operations.

In this role, you’ll support daily accounting activities while maintaining confidentiality and attention to detail.

Your Role in Our Mission

As a Financial Administrative Assistant, you will provide essential administrative and clerical support to the Finance team. This includes ensuring accurate financial documentation, assisting with transaction processing, and maintaining efficient office operations.

You will support accounts payable and receivable processes, maintain organized financial records, and assist with reporting and compliance activities. This role also serves as a front-facing point of contact for visitors, employees, and external partners, requiring professionalism, discretion, and strong communication skills.

This position reports directly to the Controller and is based on-site at our Raleigh headquarters.

This is a full-time, onsite position, offering a structured and collaborative work environment.

Compensation & Benefits

  • Compensation range for this non-exempt position: $24.04 to $28.85

What We’re Looking For

  • High School Diploma or GED required
  • Associate degree in Accounting, Business Administration, or related field (preferred)
  • 1–3 years of administrative experience, preferably in a finance or accounting environment
  • Proficiency in Microsoft Excel, Word, and Outlook
  • Strong attention to detail and organizational skills
  • Ability to handle sensitive and confidential information with discretion
  • Strong written and verbal communication skills
  • Sensitivity and professionalism when interacting with individuals with disabilities or those seeking support

What You’ll Do

Financial & Accounting Support

  • Receive, open, and distribute incoming mail and financial correspondence to corresponding department
  • Assist with accounts payable and accounts receivable administrative tasks
  • Log cash receipts and scan supporting documentation for distribution to the Finance team
  • Maintain accurate records of invoices, receipts, and financial documents
  • Support preparation and organization of financial reports and schedules
  • Support month-end and year-end closing activities, as needed

Documentation & Compliance

  • Coordinate document retention and ensure compliance with internal controls

Administrative & Office Support

  • Perform general administrative duties including copying, scanning, filing, and upkeep of office supplies
  • Manage conference room calendars and meeting room setup
  • Assist with corporate mailings such as printing, assembling, copying, and binding materials

Front Desk & Customer Support

  • Serve as the first point of contact for visitors, clients, and employees, greet and direct as necessary
  • Answer incoming calls and direct to the appropriate person or department for handling
  • Retrieve messages from voicemail and route messages as needed
  • Respond to internal and external inquiries appropriately and professionally
  • Provide respectful, empathetic communication aligned with ESPH’s mission

Work Environment & Requirements

  • Ability to remain in a stationary position for extended periods
  • Frequent use of a computer and standard office equipment
  • Ability to review documents for accuracy and perform basic data analysis
  • Effective communication with internal and external stakeholders
