Financial Controller

About the Role

911 Fleet and Fire Equipment, headquartered in Florence, Kentucky, is seeking a detail-oriented and experienced Controller to join our team on a full-time, in-person basis. This role is central to the day-to-day financial operations of our organization and will also provide virtual accounting support to our affiliate, Palmetto Fire Apparatus, located in Ridgeland, South Carolina.

Key Responsibilities

Accounts Payable & Receivable

  • Process and manage all accounts payable transactions, ensuring timely and accurate vendor payments
  • Oversee accounts receivable, including invoicing customers and following up on outstanding balances
  • Record and apply customer payments accurately across both companies

Banking & Reconciliations

  • Perform regular bank reconciliations for all company accounts
  • Monitor cash flow and flag discrepancies in a timely manner

Tax & Compliance

  • Prepare and file sales tax returns in accordance with applicable state and local regulations for Kentucky and South Carolina
  • Maintain compliance documentation and support any audit-related needs

Invoicing & Billing

  • Generate and issue customer invoices for equipment sales and services
  • Coordinate with sales and operations teams to ensure invoice accuracy

Financial Reporting

  • Prepare light financial reports including income statements, balance sheet summaries, and cash position updates
  • Provide management with periodic financial snapshots to support decision-making

Payroll Processing

  • Process full-cycle payroll for all employees on a scheduled basis, ensuring accuracy and timeliness
  • Maintain payroll records and ensure compliance with federal and state payroll tax requirements
  • Coordinate with management on any payroll changes, adjustments, or special payroll runs

401(k) Administration

  • Record and reconcile 401(k) contributions and employer match entries in the accounting system
  • Coordinate with the plan administrator to ensure timely and accurate contribution remittances
  • Maintain 401(k) records and assist with plan compliance as needed

HR Administration & Benefits

  • Manage day-to-day HR administrative functions including onboarding documentation, employee file maintenance, and policy compliance
  • Administer and review employee benefits programs including health insurance, retirement plans, and other company-sponsored benefits
  • Serve as primary point of contact for employee benefits questions and enrollment
  • Coordinate open enrollment periods and communicate benefit changes to staff

Year-End Tax Reporting & CPA Coordination

  • Gather and organize financial records to support annual tax preparation by the external CPA firm
  • Prepare and distribute W-2s, 1099s, and other required year-end tax documents
  • Serve as the primary liaison between company management and the external CPA firm throughout the year-end close and tax filing process
  • Ensure all documentation requests from the CPA firm are fulfilled accurately and on time

Virtual Support – Palmetto Fire Apparatus

  • Perform all of the above functions remotely for Palmetto Fire Apparatus, maintaining consistent processes and standards across both entities
  • Coordinate with Palmetto Fire Apparatus staff to ensure accurate and timely financial data

Qualifications

Required

  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field, OR equivalent work experience
  • Minimum 3–5 years of hands-on accounting or bookkeeping experience
  • Proficiency in accounting software (Zoho, QuickBooks, or similar)
  • Strong working knowledge of accounts payable, accounts receivable, and bank reconciliation processes
  • Familiarity with sales tax preparation and filing
  • High level of accuracy and attention to detail
  • Strong organizational and time-management skills

Preferred

  • Experience in a small business or multi-entity accounting environment
  • Familiarity with the equipment sales, fleet, or fire/emergency services industries
  • Experience supporting remote or virtual accounting for a secondary business entity
  • CPA or CPA candidate a plus, but not required

Job Type: Full-time

Pay: $70,000.00 - $90,000.00 per year
