· Produce accurate profit and loss statements, balance sheets, cash flow reports, management dashboards, and board reports.

· Monitor revenue, expenses, profitability, cash flow, overhead percentage, and key financial trends.

· Track performance against budget, forecast, and financial goals, then translate results into practical recommendations.

· Ensure reporting is timely, accurate, understandable, and useful for decision-making.

Accounting, Bookkeeping & Payroll Oversight

· Oversee accounts payable, accounts receivable, and routine bookkeeping workflows.

· Reconcile bank accounts, credit card accounts, merchant accounts, loan balances, and other key financial accounts.

· Ensure accurate categorization of income, expenses, assets, liabilities, and owner-related transactions.

· Maintain organized financial documentation, records, supporting schedules, and a clean accounting system.

· Coordinate with the outside CPA or tax advisor for tax filings, year-end reporting, compliance, and tax planning support.

· Oversee payroll processing for approximately 20 employees, including payroll reports, deductions, benefits, bonuses, retirement contributions, and related payroll entries.

· Monitor labor costs, payroll percentage, overtime, compensation trends, bonus structures, and other employee cost drivers.

Budgeting, Forecasting & Cash Flow Planning

· Develop and maintain the annual operating budget in partnership with ownership and leadership.

· Forecast revenue, expenses, cash flow, debt service, payroll costs, capital expenditures, and cash reserve needs.

· Support planning for equipment purchases, technology investments, facility improvements, future expansion decisions, and growth initiatives.

· Manage and report on cash reserves, liquidity needs, and cash flow timing.

· Identify financial risks, cost-saving opportunities, budget variances, and areas for improved profitability.

· Measure and improve forecast accuracy over time.

Dental Practice Financial Operations

· Monitor production, collections, adjustments, refunds, write-offs, insurance receivables, and patient receivables.

· Work with the office manager and billing team to improve collection rates and reduce aging accounts receivable.

· Review daily, weekly, and monthly financial reports from the practice management software.

· Track dental KPIs, including gross production, net production, collection percentage, AR aging, hygiene production, new patient flow, case acceptance, provider productivity, overhead percentage, and profitability.

· Analyze provider, department, and service-line performance where applicable.

· Help leadership understand the financial impact of scheduling, collections, billing workflows, case acceptance, staffing, and operational decisions.

Internal Controls, Compliance & Vendor Coordination

· Establish and maintain financial controls that protect practice assets and support accountability.

· Review financial workflows for accuracy, accountability, fraud prevention, and process improvement.

· Maintain approval processes for purchases, vendor payments, payroll changes, refunds, adjustments, and write-offs.

· Maintain confidentiality of financial, employee, and patient-related information.

· Support compliance with applicable tax, payroll, and healthcare-related financial requirements.

· Manage financial relationships with vendors, banks, lenders, payroll providers, benefit providers, and insurance carriers.
