Financial Coordinator

Schedule: Monday's - Friday's; 8am - 5pm (in office)

seeking a Financial Coordinator to support coordination, tracking, and financial data integrity across the technology licensing and work planning portfolio.

This is a self-directed contract role focused on ensuring continuity and accuracy across software renewals, financial planning inputs, and portfolio tracking. The role will also help establish a structured, documented operating model that can be transitioned to an external managed services partner over time.

This is a hands-on role requiring both detailed execution and the ability to identify gaps and improve processes across a complex portfolio of ~200+ applications and vendor agreements.

Key Responsibilities

Renewal Coordination & Risk Management

  • Manage a rolling 30/60/90-day view of upcoming technology contract renewals
  • Engage application owners, finance, and procurement to ensure timely decisions and avoid lapses

Data Integrity & Portfolio Cleanup

  • Validate, reconcile, and clean up financial and tracking data across the technology licensing portfolio (Smartsheet source of truth)
  • Ensure consistency across contract terms, ownership, renewal dates, and financial data

Work Plan & Financial System Support

  • Enter, maintain, and validate portfolio line items in:
  • Planisware (project/work planning)
  • Planful (OpEx budgeting & forecasting)
  • Support development and submission of the 2027 technology work plan and 5-year technology work plan

Stakeholder Coordination

  • Coordinate with internal application owners and functional stakeholders (primarily via email and Microsoft Teams) to gather, validate, and confirm data
  • Drive follow-ups and close gaps — not just request information

Process & Documentation

  • Document workflows, controls, and reporting structure
  • Identify inefficiencies and recommend practical improvements
  • Prepare the function for transition to an external managed services partner

Proactive Issue Identification

  • Surface risks, inconsistencies, and gaps early
  • Come forward with recommended solutions and next steps

Required Qualifications

  • Bachelor’s degree in Finance, Accounting, Business, or related field
  • 3–7+ years of experience in financial coordination, FP&A support, or similar roles
  • Proven ability to manage high-volume, detail-oriented data work with accuracy
  • Strong working knowledge of Microsoft Excel (data validation, organization, reconciliation)
  • Experience working with structured datasets (tracking tools, financial systems, or similar)
  • Strong organizational and follow-up skills across multiple stakeholders
  • Self-directed and proactive — able to operate with minimal oversight
  • Clear and professional written communication skills

Preferred Qualifications

  • Experience with Planisware, Planful, or similar PPM / FP&A tools
  • Experience with Microsoft Power BI (data validation, reporting, or dashboarding)
  • Background in technology vendor management, software licensing, or Software Asset Management (SAM)
  • Experience supporting CapEx and OpEx planning cycles in a corporate environment
  • Experience documenting processes for outsourcing or managed services transition
  • Familiarity with portfolio tracking tools such as Smartsheet or similar

What Success Looks Like

  • No missed or unaddressed contract renewals
  • A validated, trusted source of truth for technology licensing and financial tracking
  • Accurate and complete data flowing into Planisware and Planful for 2027 planning and 5-year outlook
  • Clear, documented workflows enabling a clean transition to an external partner
  • Improved visibility into renewal risk, financial commitments, and portfolio ownership
