Position Overview The Financial Project Manager plays a critical role in ensuring the financial health, operational clarity, and contractual accuracy of all interior design projects. This position supports the design team by managing contracts, retainers, billing, and project financial tracking to ensure every project remains aligned with scope, timeline, and budget. The ideal candidate is highly analytical, detail-oriented, and experienced in managing financial processes within a service-based or creative industry.

Key ResponsibilitiesContract & Retainer Management

-Draft, review, and manage client contracts, ensuring accuracy, clarity, and alignment with project scope and deliverables.

-Oversee retainer setup, invoicing, replenishment, and reconciliation throughout the project lifecycle.

-Maintain up-to-date contract versions, amendments, addendums, and scope adjustments.

Financial Project Oversight

-Monitor project budgets, tracking hours used vs. contracted scope, and alert leadership when projects near or exceed budget thresholds.

-Maintain ongoing cross-referencing between project scope, contract terms, and actual time billing to ensure alignment.

-Analyze financial performance of each project, providing regular updates and detailed reporting to management.

Time Billing & Invoicing

-Manage weekly or bi weekly time tracking audits to ensure accurate designer billable hours.

-Generate client invoices, ensuring precision and alignment with contract terms.

-Identify discrepancies or inefficiencies in time billing and propose improvements.

Operational & Process Support

-Collaborate with project managers and designers to ensure financial requirements are integrated into project planning and execution.

-Support leadership in developing and refining financial processes, tools, and workflows for improved accuracy and efficiency.

-Assist in forecasting revenue and resource allocation based on active and upcoming project workloads.

Qualifications & Skills

-Bachelor’s degree in Finance, Accounting, Business Administration, Project Management, or related field (or equivalent experience).

-3+ years experience in financial project management, preferably within an interior design, architecture, construction, or other professional services environment.

-Strong understanding of service-based billing models and project lifecycle management.

-Exceptional analytical skills and attention to detail.

-Proficiency in financial software, project management tools, and time-billing systems.

-Ability to interpret complex contracts and translate project scope into actionable financial tracking.

-Excellent communication skills and the ability to collaborate effectively with creative and operational teams.

-Strong organizational skills, with the ability to manage multiple projects simultaneously.
