Fire Alarm Assistant Project Manager

The Opportunity:
Encore Fire Protection is seeking an Assistant Project Manager to support our Fire Alarm Project Management team. This role is ideal for someone who enjoys being close to the action, staying organized, and helping keep projects moving forward. Working closely with a Fire Alarm Project Manager, you will help coordinate fire alarm installation and service-related work while supporting the day-to-day execution of projects.

You will assist with project intake, materials coordination, documentation, and communication between internal teams, vendors, and customers. This position offers hands-on exposure to how fire alarm projects are planned, sold, scheduled, and executed. Over time, you’ll build the operational and technical experience needed to grow into a Project Manager role.

Key Responsibilities:
  • Support the Fire Alarm Project Manager with coordination of fire alarm installation projects and service-related work.
  • Assist with intake of new projects by reviewing scopes, drawings, and proposals to ensure accurate setup and handoff from sales or deficiency teams.
  • Help prepare submittals, takeoffs, and bill of materials to support fire alarm installations and parts ordering.
  • Coordinate ordering, tracking, and staging of equipment and materials for technicians in the field.
  • Assist with scheduling field technicians and tracking project progress to keep work moving forward.
  • Support quoting, deficiency corrections, and simple change order pricing as needed.
  • Communicate with customers, vendors, and internal teams to keep projects aligned on status, timelines, and material needs.
  • Maintain organized project documentation and assist with job tracking and project closeout.
What You Bring to the Table:
  • 2–5 years of experience in construction, service operations, fire alarm, electrical, or a trade-adjacent role.
  • Exposure to project coordination, field operations, estimating, scheduling, or materials coordination.
  • Ability to read and understand basic construction drawings, fire alarm plans, and scopes of work.
  • Strong organizational skills and attention to detail.
  • Clear communication skills and comfort working with field teams, vendors, and customers.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Comfort using everyday business tools such as email, spreadsheets, and scheduling or tracking systems.
  • Valid driver’s license with reliable transportation and willingness to travel locally as needed.
  • Ability to work at heights and lift up to 50 pounds when required.

  • Familiarity with fire alarm materials, components, and installation workflows.
  • Experience supporting project managers or field operations within construction or service organizations.
  • Exposure to estimating tools, project management software, or construction management systems.
  • Trade schooling, technical training, or certifications related to fire alarm or electrical systems.
  • Interest in growing into a Fire Alarm Project Manager role.
