We are seeking a full-time Firm Administrative Assistant to join our office and support the smooth operation of our practice.

Position Overview:
The Firm Administrative Assistant will play a key role in maintaining efficient daily operations of the office. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a professional environment.

Key Responsibilities:

· Greet and assist clients in person, by phone, and via email with a professional and friendly demeanor.

· Manage scheduling and coordinate appointments for CPAs and staff.

· Prepare, organize, and maintain client files and firm records.

· Assist with assembling tax returns, financial statements, and gathering tax related documents.

· Handle incoming and outgoing correspondence, including mail and electronic communications.

· Support billing, invoicing, and other basic bookkeeping tasks as needed.

· Maintain office supplies, equipment, and appearance of office.

· Provide general administrative support to partners and staff as needed.

Qualifications:

· Prior administrative experience, preferably in a CPA firm, financial services, or professional office environment.

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) working with project management systems and general office technology.

· Strong written and verbal communication skills.

· Excellent organizational skills with the ability to prioritize and manage deadlines.

· Professionalism, discretion, and confidentiality when handling sensitive client information.

· Ability to work independently as well as part of a team.
