The basic purpose of the First Impression Officer will be to facilitate walk-in guests at the reception in a pleasant manner through attentive listening and a problem-solving attitude. Talking and making calls to relevant individuals using the IP system, and also providing a range of administrative and clerical duties
Job Responsibilities:
Greeting and welcoming visitors and directing them appropriately
Communicating with relevant departments like HRD, Sales and Admin etc. regarding the visitor or interviewee
Answering queries of the visitors, if any information is required or contact the relevant department for further information
Maintain visitor's log
Issuance of Visitors' badges to interviewees and other visitors
Receiving and sorting daily couriers and issuance in relevant departments and maintaining a log of the same
Daily verify that all lines are working properly and telephone devices are functional
Answers incoming calls and route to relevant departments if required
Focus on attentive listening and problem-solving
Provides information obtained from a variety of sources to field questions from a caller regarding departments, phone numbers, operational hours, etc
Updates and maintains a personal copy of the company telephone directory and other resources to ensure accurate dispensing of information
Guide staff about routine questions regarding IP dialing and train where the particular staff need guidance about how to operate
Facilitate call making and prepare a log of the same
Reports telephone/internet issues to the NSS department for immediate assistance
Arrange to call back on the specified time if requested/promised
Maintain meetings logs as per the meeting room reservations
Highlight all issues related to calls to concerned officials to resolve the matter and facilitate customers to the fullest
Arrange meetings of directors with managers and respective staff as requested
Keep looking forward to enhancing the knowledge base by working on communication skills and language accents
Act as a custodian of all mobile numbers and relevant data in possession
Keep records of calls placed and received
Perform typing, proofreading, data entry, tasks etc
Set up conference calls in different locations and time zones
Assist the monitoring section in CCTV review for assigned tasks
