Role Overview

The Fit-out Procurement Coordinator / Material Planner is responsible for ensuring timely and efficient planning, scheduling, and coordination of all materials required for fit-out and joinery project execution. This role works closely with procurement, project management, production, design, and warehouse teams to ensure material availability aligns with project timelines, budgets, and quality expectations. The position plays a critical role in preventing material shortages, reducing inventory costs, supporting production workflows, and enabling smooth project execution from start to finish.

Key Responsibilities

1. Material Planning & Scheduling

· Develop and manage material requirement plans based on project schedules, production needs, and inventory levels.

· Monitor and track material usage to ensure alignment with project and production timelines.

· Create accurate material forecasts and issue material requisitions in coordination with procurement and project teams.

· Adjust material plans in response to changes in project scope, lead times, or material availability.

2. Inventory & Stock Control

· Maintain optimal inventory levels to prevent shortages, overstocking, and unnecessary holding costs.

· Coordinate with warehouse and procurement teams to track stock availability, deliveries, and storage requirements.

· Ensure accurate documentation of material inflows, outflows, and current inventory levels.

· Conduct periodic stock audits and reconcile discrepancies with warehouse teams.

3. Cross-functional Coordination

· Work closely with procurement, project managers, production, and design teams to ensure timely material approvals and deliveries.

· Align material delivery schedules with production and installation requirements across multiple projects.

· Identify and escalate potential delays, shortages, or material risks to stakeholders to prevent project disruption.

4. Supplier Collaboration

· Support procurement by providing accurate forecasts, updated material plans, and consumption patterns.

· Coordinate with suppliers and vendors to confirm delivery timelines, lead times, and material availability.

· Verify specifications, packaging requirements, and logistics arrangements to ensure safe and timely deliveries.

5. Reporting & Documentation

· Maintain accurate records of material schedules, delivery logs, and planning documentation.

· Prepare regular reports on material planning KPIs, consumption trends, stock variances, and potential risks.

· Identify and recommend cost-saving opportunities through efficient material utilization and planning accuracy.

6. Continuous Improvement

· Analyze current material planning processes and propose improvements to enhance accuracy and efficiency.

· Implement best practices in inventory control, lean planning, and supplier coordination.

· Stay updated on material innovations, industry standards, and emerging products within the fit-out/joinery sector.

Qualifications

· Bachelor’s degree in Supply Chain Management, Engineering, Business Administration, or a related field.

· 2–3 years of experience in material planning or procurement, preferably within the fit-out, joinery, or construction industry.

· Proficiency in ERP systems and Microsoft Excel for planning, analysis, and reporting.

· Strong analytical, organizational, and problem-solving skills.

· Ability to coordinate across multiple departments and manage several priorities under tight deadlines.

· Familiarity with joinery, wood, and fit-out materials is an advantage.

Preferred Qualifications

· Certification in supply chain or inventory management (e.g., CPIM, CSCP).

· Experience with Just-in-Time (JIT), lean planning principles, and demand-driven MRP.

· Knowledge of logistics, warehouse operations, and material handling processes.
