Fleet Administrator

QUALIFICATIONS AND JOB DESCRIPTION

We are seeking an experienced professional to oversee and optimize our company’s vehicle and shuttle operations. This role will be responsible for managing daily transportation activities, ensuring service quality, and driving continuous improvements across all related processes.

Key Responsibilities

• Plan, coordinate, and manage the daily operations of company-rented cars and shuttle buses.
• Manage transportation service through third-party service providers and monitor their performance.
• Arrange transportation bookings and support dispatching work via suppliers.
• Gather and evaluate employee feedback related to transportation services.
• Analyze routes, schedules, and capacities to optimize shuttle efficiency and reduce costs.
• Identify areas for process improvement and lead initiatives to enhance service quality.
• Prepare regular reports (weekly/monthly) on shuttle usage, costs, and performance metrics.
• Track and manage supplier contracts and ensure compliance with company standards.
• Provide alternative transportation solutions in case of emergency or disruption.
• Collaborate with other admin functions to support broader operational needs.

Qualifications

• Bachelor’s degree.
• 3–5 years of experience in a similar position, preferably with vehicle industry experience.
• Prior knowledge of transportation and cars is highly preferred.
• Strong understanding of process management and improvement methodologies.
• Proficient in English (written and spoken).
• Strong command of Microsoft Office tools, especially Excel.
• Effective communication and stakeholder management skills.
• Good service mindset with balanced satisfaction & efficiency management skills.
• Ability to adapt in a fast-paced and dynamic work environment.

Preferred Qualifications

• Experience with ERP or transportation management systems.
• Familiarity with managing third-party vendors and service contracts.
• Understanding of Istanbul’s transportation landscape (if applicable).
