The Fleet Executive ensures end‑to‑end operational readiness and compliance for dealership vehicles—from import and customs clearance through yard receipt, storage, pre‑delivery inspection (PDI) readiness, and dispatch to showrooms/customers. The role owns inventory accuracy, customs documentation & compliance, yard safety & housekeeping, and vehicle flow optimization, coordinating closely with suppliers, customs brokers, transporters, and dealership sales/finance teams.


RESPONSIBILITIES:


  • Maintain accurate stock records in the Dealer Management System (DMS)/ERP (e.g., VIN, model, color, variant, status, aging).

  • Perform daily cycle counts, weekly reconciliation, and monthly physical inventory; lead root-cause analysis for variances.

  • Track vehicle lifecycle statuses: in-transit, at port, customs cleared, in yard, PDI-ready, reserved, delivered.

  • Implement and audit inventory controls (barcode/RFID, VIN plate checks, vehicle movement logs).

  • Monitor aging & floorplan timelines; flag slow movers; coordinate allocation to sales channels and promotions.

  • Prepare and verify import documentation: commercial invoice, packing list, Bill of Lading/AWB, COO, HS codes, duty/tax calculations, and regulatory permits.

  • Liaise with customs brokers, port authorities, and government agencies to ensure timely, compliant clearance.

  • Track shipment milestones (ETA, port discharge, inspection, duty payment, release) and maintain audit trails.

  • Ensure adherence to local regulations (valuation, standards, homologation, environmental/vehicle compliance).

  • Resolve holds/discrepancies; escalate risk items and maintain a post‑entry/adjustment log.

  • Coordinate PDI scheduling, accessory fitment, detailing, and readiness for delivery.

  • Implement HSSE standards (speed limits, PPE, fire safety, spill control, first aid, emergency procedures).

  • Conduct vehicle condition checks on arrival; record damages; manage claims with carriers/insurers.

  • Plan and schedule transport from port to yard and yard to dealerships/customers; optimize routing and costs.

  • Manage 3PL carriers: performance reviews, POD collection, damage/loss reporting, penalty/bonus mechanisms.

  • Align dispatch plans with sales forecasts, reservations, and customer delivery dates.

  • Ensure data integrity across DMS/ERP and customs systems; standardize naming/coding (model, variant, options).

  • Generate daily yard status, weekly inventory aging, customs pipeline, and dispatch & damage reports.

  • Maintain SOPs/Work Instructions and contribute to continuous improvement (5S, Kaizen, lean initiatives).

  • Prepare for internal/external audits; keep documentation audit‑ready.

  • Monitor regulatory changes affecting tariffs, HS codes, standards; recommend action plans.

  • Lead incident investigations; implement corrective & preventive actions (CAPA).


Requirements

Bachelor’s degree in Marketing, Business, or related field (Master’s preferred).
