Fleet Logistics Coordinator

Position Summary

The Fleet Logistics Coordinator provides primary support for rental equipment administration and equipment logistics, ensuring timely availability, movement, and utilization of equipment across projects and service lines. This role serves as a central coordination point for rental equipment sourcing, tracking, transfers, and related documentation, while also supporting company owned asset records as needed.


The position is based at the Plymouth, MN main office.


This position reports to the Fleet Director.

Essential Job Duties and Responsibilities

  • Coordinate and administer rental equipment, including sourcing, mobilization, demobilization, extensions, and off rent activities.
  • Support equipment logistics, including scheduling and tracking equipment moves between job sites, yards, vendors, and service lines.
  • Monitor rental utilization and assist in identifying opportunities to optimize rental costs and equipment availability.
  • Code invoices related to rental equipment, transportation, parts, and durable goods supporting fleet and jobsite operations.
  • Generate Capital Asset Requests for equipment, special tools, rental purchase options (RPOs), and capital lease buyouts.
  • Review and approve invoices related to rental charges, equipment, vehicles, and special tools charged to job sites.
  • Maintain accurate records for rental equipment, asset transfers, and disposition documentation.
  • Support Fleet Managers and operations teams with rental planning, equipment availability, and logistics coordination, particularly for foundation and specialized drilling equipment.

Qualifications

  • High School Diploma or equivalent required.
  • 3+ years of experience in rental coordination, logistics, fleet operations, procurement, or accounting preferred.
  • Strong understanding of the rental equipment process in construction
  • Experience supporting U.S. Government or federally funded projects is a plus
  • Proficiency in the Microsoft suite, including Excel to create and maintain spreadsheets with formulas.
  • Excellent customer service, communication, and coordination skills.
  • Self-driven with the ability to operate effectively under minimal supervision.
  • Prior experience with heavy equipment
  • Prior experience using HCSS, Spectrum, and Holman InSights systems preferred.

Work Environment

  • Office-based role with frequent computer and phone work; regular interaction with field and office personnel.
  • Must be able to sit for extended periods, use standard office equipment, and manage electronic records accurately.
  • Periodic visits to company yards may be required; must be able to wear required PPE and work around heavy equipment safely.

Pay and Benefits

The expected pay range for this position is $60,000 – $80,000 annually. Offers are based on various factors, including skill set, qualifications, experience, location, and other job-related reasons.
