Overview
We are seeking an experienced and highly organized Fleet Manager to oversee the management, maintenance, repair, tracking, restocking, and distribution of all company tools, small equipment, large equipment and vehicles of within High Regard. The ideal candidate will ensure the efficient utilization of vehicles and equipment, maintain compliance with safety regulations, and optimize fleet and equipment performance to support our operational goals. This role offers an excellent opportunity for a proactive professional to lead fleet operations within a dynamic organization committed to safety, efficiency, and sustainability.

Responsibilities

  • Coordinate and schedule all vehicle and equipment repairs, both in-house and with external vendors, ensuring timely turnaround and minimal operational downtime. Track repair status in FLEETIO and communicate updates to the Production Manager and field crews.
  • Oversee vehicle and large equipment maintenance schedules, registration renewals, safety inspections, and coordination with service vendors.
  • Perform minor repairs and adjustments on small power equipment (chainsaws, blowers, trimmers) when faster than vendor turnaround—e.g., plug/air-filter swaps, chain sharpening/tensioning, bar replacement, rope/handle replacement, basic carb tuning. Escalate to a vendor if the repair exceeds 2 hours, needs special diagnostics, or could impact safety/warranty.
  • Coordinate with the Production Coordinator and Production Manager when emergency part shuttles, field deliveries or repairs are required.
  • Maintain clear communication across departments to ensure production teams are supported without delays or shortages.
  • Maintain a centralized tool and equipment checkout area for all field crews, ensuring all borrowed tools are signed out, tracked, and returned daily.
  • Report all lost, damaged, or missing tools, small equipment, or large equipment in writing to the Financial Manager immediately.
  • Prepare and stock new vehicles and large equipment according to the company-standard inventory list prior to deployment.
  • Manage the inventory system for baseyard, vehicle, and equipment assets — ensuring accurate records, timely updates, and accountability.
  • Maintain and adjust minimum and maximum stocking levels for the baseyard inventory.
  • Conduct monthly audits of small equipment, large equipment, and high-value tools to ensure functionality, maintenance, and correct assignment.
  • Perform random truck audits monthly, verifying each vehicle meets stocking standards; send audit reports to the Production Manager.
  • Conduct physical counts of in-house inventory quarterly and update all records in the FLEETIO management system.
  • Track issues related to driver safety and behavior through our vehicle GPS software and report any issues to the Production Manager.
  • Provide the Production Manager with a detailed equipment and vehicle issues report every month.
  • Provide the Financial Manager with a detailed baseyard, equipment, and vehicle inventory report every 3 months.
  • Standard work hours are 6:00 AM to 2:30 PM with a 30-minute lunch.

Qualifications

  • Proven experience in fleet management or logistics coordination.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Knowledge of vehicle maintenance practices, safety standards, and regulatory compliance requirements.
  • Excellent communication skills for coordinating with drivers, vendors, and internal teams.
  • Proficiency in fleet management software or related technology tools is preferred.
  • Ability to analyze data and generate reports to inform decision-making.
  • Valid driver’s license with a clean driving record is required; certification in fleet management or logistics is a plus. This position is integral to maintaining operational excellence through effective fleet oversight, ensuring safety standards are met while supporting organizational growth.

Job Type: Full-time

Pay: $52,000.00 - $55,000.00 per year
