Fleet Sales Coordinator

The Fleet Sales Coordinator plays a crucial role in supporting the fleet sales team by managing customer enquiries, processing orders, and coordinating vehicle deliveries This role ensures a seamless sales process by liaising between clients, dealerships, and internal departments The coordinator is responsible for maintaining accurate records, ensuring compliance with company policies, and delivering exceptional customer service to fleet clients

Job responsibilities: ( These are the fundamental job duties regularly performed by the employee in the position)

Main Job Functions:

· Act as a liaison between customers and Sales Consultants to ensure smooth and efficient sales operations, including reservation creation and confirmation, order booking, and delivery coordination, thereby contributing to target achievement

· Serve as the primary point of contact for customer support via telephone, email, or face-to-face interactions while consultants are in the market

· Coordinate with the Traffic Department for customer registration, fine clearance, mortgage release, and other related processes

· Verify relevant sales documentation, such as custom certificates and VIN details, before communicating with customers

· Prepare and review supporting documents for invoicing and maintain proper filing and organisation of records

· Allocate leads and enquiries to the sales team, ensuring timely consolidation and submission of customer registration requests

· Provide onboarding support to new joiners in coordination with the GHRD and GIT departments (eg Windows access, Oracle responsibilities, etc)

· Uphold the highest standards of professionalism and ethical conduct, handling confidential information with discretion

Measurement & Performance:

· Support the achievement of Fleet Sales objectives by ensuring all sales coordination tasks are completed on time and in compliance with company policies

· Maintain punctuality, discipline, and adherence to attendance standards

· Demonstrate AAC Core Values: Integrity, Commitment, Adding Value, and Continuous Improvement

Administration:

· Generate and submit reports to managers, including daily invoicing, weekly forecasts, and target/model mix achievement reports

· Assist the manager with market intelligence, competitor quotation analysis, logistics, and order management

Finance & Risk Management:

· Ensure timely submission of bank documents

· Maintain proper control and copies of customs documents and traffic letters for the respective team

· Verify cheque clearance before releasing customer registration papers, processing vehicle registration, and delivering vehicles

Process Compliance Role:

  • Ensure full compliance with ISO standards, Standard Operating Procedures (SOPs), and Group Internal Audit (GIA) requirements
  • Adhere to company policies and industry regulations to maintain operational integrity
  • Support internal audits and take corrective actions as required to uphold compliance standards

Educational Qualification

· Graduate or Diploma holder with strong IT proficiency

Work Experience

· Minimum 2 years of experience in sales coordination or a related role

Competencies

(Consider certain technical skills to do the job, Analytical Skills, Persuasives, Strategic Thinking etc)

· Strong communication and interpersonal skills

· Proficiency in Microsoft Office, CRM systems, and other sales-related software

· Ability to multitask, prioritise, and work in a fast-paced environment

· Knowledge of fleet sales processes and vehicle leasing is an advantage

· Ability to work flexibly, depending on business needs

Languages

· English a must, Arabic an added advantage
