Fleet Specialist

About the Role:

To support the fleet operations by coordinating vehicle procurement, allocation, registration, and maintenance activities. The role ensures data accuracy, timely documentation, and smooth communication between dealers, internal departments, and the fleet management team to maintain vehicle availability and operational efficiency.

Responsibilities :

• Support the end-to-end vehicle procurement process from purchase request to delivery.
• Communicate with authorized dealers for quotation collection, order status, and delivery follow-ups.
• Ensure all purchase documentation is accurate and properly recorded.
• Assist in allocating new vehicles in the system (e.g., CarPro / SAP).
• Monitor vehicle readiness and ensure availability within target timelines. - Track idle vehicles and report exceptions to maintain optimal fleet utilization.
• Verify and update fleet data to ensure system accuracy.
• Prepare and submit weekly and monthly fleet status reports.
• Maintain accurate records of vehicle movements, registrations, and insurance.
• Ensure all vehicle documents (VDN, VAT invoices, registration, insurance) are complete and properly filed.
• Support internal and external audit requirements related to fleet documentation.
• Follow company and regulatory guidelines in all transactions.
• Coordinate with dealers on delivery schedules, warranty, and service issues.
• Support cost control efforts by collecting and comparing dealer quotations.
• Ensure timely renewal of vehicle insurance and registration.

Qualifications:

• Bachelor’s degree in Business Administration, Supply Chain, or a related field.
• Minimum of 3-5 years of experience in fleet operations, procurement, or logistics.
• Basic knowledge of vehicle types, specifications, and market trends.
• Strong communication and coordination skills.
• Attention to detail and data accuracy.
• Proficiency in MS Office (Excel, Word, PowerPoint).
• Familiarity with fleet management systems (CarPro, SAP, or similar).
