The FM Administrator is responsible for managing the day-to-day operations, maintenance, and administrative functions of the company’s property portfolio. This role ensures that all facilities are safe, well-maintained, and compliant with both company policies and regulatory standards. Acting as a key liaison between tenants, service providers, and the technical team, the FM Administrator plays a vital role in maintaining smooth and efficient facility operations.
Key Responsibilities
- Oversee and coordinate daily maintenance activities for HVAC, electrical, plumbing, and mechanical systems.
- Plan, schedule, and track preventive and corrective maintenance with internal teams and external contractors.
- Maintain accurate records of assets, maintenance activities, and service reports.
- Manage tenant move-ins and move-outs, including inspections and preparation of condition reports.
- Conduct regular site inspections to ensure facilities are in top condition and address maintenance issues promptly.
- Process, verify, and submit invoices with all required documentation.
- Coordinate with vendors and service providers to ensure timely and quality service delivery.
- Monitor subcontractor performance and confirm satisfactory completion of assigned tasks.
- Ensure compliance with all health, safety, and environmental standards.
- Assist in preparing maintenance and operational reports, purchase requests, and budget tracking.
- Support the Facilities Manager with documentation, permit applications, and compliance requirements.
Qualifications and Experience
- Bachelor’s degree or diploma in Engineering, Facilities Management, Information Technology, or a related field.
- 3–5 years of experience in facilities coordination, property management, or maintenance administration.
- Strong knowledge of building systems, including HVAC, electrical, plumbing, and mechanical components.
- Excellent organizational, communication, and reporting skills.
- Proactive, detail-oriented, and able to handle multiple tasks efficiently.
- Willing to conduct site visits and coordinate with external vendors as needed.
