Front Desk Administrative Assistant

Job Summary
We are seeking an energetic and detail-oriented Front Desk Administrative Assistant to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer support. Duties

  • Greet visitors and clients warmly, ensuring a professional and friendly first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails and mail distribution
  • Maintain organized filing systems—both physical and digital—using tools like Microsoft Shared and Microsoft Office
  • Perform data entry tasks with accuracy
  • Support calendar management by scheduling appointments, meetings, and personal assistant tasks as needed
  • Conduct proofreading of documents to ensure clarity and professionalism before distribution
  • Manage office supplies inventory and keep well-stocked
  • Provide clerical support including copying, scanning, and filing.

Experience

  • Prior office experience or administrative support roles demonstrating strong organizational skills
  • Proficiency with computer literacy including Microsoft Office 365 (Word, Excel)
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly desirable to assist diverse client needs effectively
  • Demonstrated ability to manage time effectively in a fast-paced environment with multiple priorities
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Previous personal assistant or office management experience is advantageous but not required
  • Must be tough skinned.
