Job Summary
We are seeking an energetic and detail-oriented Front Desk Administrative Assistant to be the welcoming face of our organization. Duties
- Greet visitors and clients warmly, ensuring a professional and friendly first impression
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails and mail distribution
- Maintain organized filing systems—both physical and digital—using tools like Microsoft Shared and Microsoft Office
- Perform data entry tasks with accuracy
- Support calendar management by scheduling appointments, meetings, and personal assistant tasks as needed
- Conduct proofreading of documents to ensure clarity and professionalism before distribution
- Manage office supplies inventory and keep well-stocked
- Provide clerical support including copying, scanning, and filing.
Experience
- Prior office experience or administrative support roles demonstrating strong organizational skills
- Proficiency with computer literacy including Microsoft Office 365 (Word, Excel)
- Experience with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are highly desirable to assist diverse client needs effectively
- Demonstrated ability to manage time effectively in a fast-paced environment with multiple priorities
- Strong typing skills with attention to detail for data entry and proofreading tasks
- Previous personal assistant or office management experience is advantageous but not required
- Must be tough skinned.
