Role Overview:

The Front Desk Administrator is the first point of contact for visitors, clients, and staff at the Dubai office. This role ensures a professional and welcoming experience while providing administrative support to the HR team and broader office operations. The ideal candidate is organized, proactive, and possesses excellent communication skills.

Key Responsibilities:

  • Greet and assist visitors, clients, and employees in a professional and courteous manner.
  • Manage incoming calls, emails, and correspondence, directing them to the appropriate departments or individuals.
  • Maintain the reception area and meeting rooms to a high standard of cleanliness and organization.
  • Coordinate office appointments, meetings, and conference room schedules.
  • Handle incoming and outgoing mail, couriers, and packages efficiently.
  • Maintain office supplies and liaise with vendors as needed.
  • Support administrative tasks for the HR team, including filing, scanning, data entry, and document management.
  • Assist in onboarding new employees, ensuring smooth administrative processes and a welcoming experience.
  • Support employees with travel arrangements, including flight bookings, accommodations, and itineraries.
  • Follow company policies and procedures to maintain confidentiality and compliance.

Requirements:

  • Minimum 2 years of experience in a reception, front desk, or administrative role.
  • Excellent communication and interpersonal skills in English; additional languages are a plus.
  • Professional appearance and demeanor, with a client-focused attitude.
  • Proficient in MS Office (Word, Excel, Outlook) and general office equipment.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Knowledge of corporate office operations and travel coordination is an advantage.
