JOB TITLE: Cashiers Club Administrative Associate

PROFILE SOURCE: Administrative Professional

FLSA STATUS: Non-Exempt

REPORTS TO: Cashiers Club Director

LOCATION: Cashiers Club

CASHIERS CLUB: 558 Frank Allen Rd, Cashiers, NC 28717

PAY: $16.00/hr

FALL/SPRING HOURS: Monday - Friday 1:30pm - 6:30pm (25 hours per week)

SUMMER HOURS: Monday-Friday 7:30am to 3:30pm (30-35 hours per week)

PRIMARY RESPONSIBILITIES:

Understand all Club policies including Club rules, discipline policy, Club emergency plans, Parent/Guardian handbook, etc. Understand and operate a cloud-based database system for Club member attendance and activity tracking. Greet and engage with Club members and families to ensure they are provided the best experience possible at Club.

KEY FUNCTIONS:

Front Desk:

  • Ensure a healthy and safe environment for all Club members and staff.
  • Supervise guests and members to ensure they are in approved, designated areas only.
  • Ensure parties do not pass the front desk without a validated reason for being onsite.
  • Manage the front desk and serve as receptionist for the Club during business hours.
  • Answer incoming calls, fielding questions and redirecting as needed.
  • Collecting forms for enrollment.
  • Provide parents with basic Club information and program updates.
  • Keep the front desk and lobby organized and cleaned.
  • Update lobby informational videos.
  • Keep the lobby organized and tidy.
  • Maintain and update lobby displays and bulletin boards.
  • Possess excellent organizational skills and the ability to multitask in a fast paced environment.
  • Participate in cleaning Club facilities as needed.
  • Set up & strike the front desk area or program area as needed.
  • Daily problem solving, critical thinking, and ability to adapt.

Data Management and Administrative Duties:

  • Operate within a cloud-based database management system.
  • Enter daily attendance and program participation into the database.
  • Assist Human Resources Coordinator with time card monitoring and time card corrections during summer months.
  • Assist Human Resources Coordinator with tracking and monitoring volunteer attendance, updates, and requirements.
  • Monitor and update membership information within the organization’s database.
  • Perform general clerical duties such as filing, copying, alphabetizing, answering emails/phones, taking messages.

Family Communications:

  • Obtain training in BGCP branding and uphold the standard of the organization.
  • Assist Membership and Family Coordinator and Club Directors by creating flyers and informational postings for Club events and special happenings.
  • Assist Membership & Family Coordinator with parent weekly communications (emails, social media, newsletters, etc.)
  • Prepare for external events and community use of the building.
  • Participate in special programs and/or events.

SKILLS/KNOWLEDGE REQUIRED

  • Those with degrees or seeking degrees in management, hospitality, business, or a related field are strongly encouraged to apply; minimum high school diploma or GED required.
  • 1+ years experience providing customer service and front desk support.
  • 1+ years experience using a data management system, and how to run reports of the data collected or ability to learn.
  • Fluency in Spanish is a bonus.
  • Attention to detail and a systematic approach to processes are a must.
  • Computer literacy skills including Microsoft office (specifically Excel), canva, google sheets
  • Previous experience using a cloud-based database management system, such as a CRM, or possess the aptitude to learn.
  • Strong communication skills both verbal and written.
  • Ability to work in a fast paced environment, and multitask effectively.
  • Must efficiently know how to navigate and operate an iPad or ability to learn.
