Position Overview

We are hiring a Front Desk Administrator who will play a key role in the daily operations of our facility.

This is not a passive front desk role. We are looking for someone who is reliable, organized, and takes ownership of their responsibilities. For the right person, there is a clear opportunity to grow into a larger operations or management role over time.

Schedule (In-Person Required)

  • Monday, Tuesday, Thursday: 3:30pm–7:30pm
  • Wednesday: 2:30pm–7:30pm
  • Saturdays:
  • 1st & 3rd: 8:30am–1:00pm
  • 2nd, 4th & 5th: 8:30am–11:30am

Total Weekly Hours: ~20–21.5 hours

Reliability & Attendance Expectations

This role requires consistent, dependable attendance during all scheduled shifts.

Because this position supports daily operations and customer experience, it is not a flexible or frequently changing schedule. We are looking for someone who plans to be present, reliable, and committed to their scheduled hours.

Key ResponsibilitiesOpening, Closing & Facility Readiness

  • Open the facility and ensure it is fully ready for daily operations
  • Tidy and maintain key areas of the gym, including:
  • Front desk and lobby
  • Windows (cleaned regularly as needed)
  • Tiny Tumblers room
  • Bathrooms (light upkeep as needed between professional cleanings)
  • Ensure the facility presents a clean, professional, and welcoming environment each day
  • Occasionally close the facility when team staff are not present
  • Take responsibility for daily operations when leadership is off-site (e.g., at competitions)

Front Desk & Customer Experience

  • Greet families with a friendly, professional, and welcoming attitude
  • Deliver exceptional customer service in all interactions
  • Act as a knowledgeable point of contact for parents and athletes
  • Answer phone calls and emails promptly, clearly, and professionally
  • Assist with registrations, payments, and scheduling using iClassPro (training provided)

Sales & Enrollment Support

  • Help guide prospective families through class options
  • Answer questions and confidently recommend appropriate programs
  • Assist with enrollment and event registrations
  • Support efforts to keep classes full and families engaged

Administrative & Organizational Support

  • Write and respond to emails in a professional and timely manner
  • Stay organized with daily, weekly, and monthly responsibilities
  • Work closely with the Program Director to help manage and stay on top of the gym calendar
  • Assist with scheduling, event coordination, and internal organization
  • Use (or learn to use) Canva for basic design needs such as flyers and announcements

Operations Support

  • Help ensure the gym runs smoothly and stays on schedule
  • Communicate effectively with staff, coaches, and families
  • Identify issues and take initiative to solve problems

Coaching Support (Required)

  • Learn to teach basic gymnastics classes
  • Be available to substitute coach when needed due to staff absences or emergencies
  • Support the coaching team when necessary

(Training will be provided, but willingness to learn and step into this role is required.)

  • Strong organization and attention to detail
  • Reliable and consistent with attendance
  • Strong written communication (professional email writing is required)
  • Comfortable using computers and learning new systems (iClassPro training provided)
  • Ability to multitask and stay organized in a fast-paced environment
  • Willingness to take initiative and handle responsibility

Bonus (not required):

  • Experience in gymnastics, sports, or working with children
  • Coaching experience
  • Leadership or management experience

Compensation & Growth

  • Starting hourly rate: $21–22/hr (training period)
  • Growth to: $23–25/hr based on performance and independence
  • Additional growth opportunities available with expanded responsibilities
