Duties

  • Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm first impression.
  • Manage multi-line phone systems to handle inquiries efficiently, directing calls to appropriate departments or personnel.
  • Maintain accurate records through data entry, filing, and proofreading to support office operations.
  • Utilize computer skills including Microsoft Office and Google Workspace to prepare documents, schedule appointments, and update records.
  • Oversee office management tasks such as calendar management, appointment scheduling, and supply inventory.
  • Handle clerical duties including typing correspondence, managing customer support requests, and maintaining organized files.
  • Support bookkeeping activities using QuickBooks or similar software to assist with basic financial recordkeeping.

Experience

  • Proven office experience or administrative support background with strong organizational skills.
  • Excellent customer service skills with a friendly phone etiquette and ability to handle inquiries professionally.
  • Familiarity with multi-line phone systems, data entry, filing systems, and general clerical tasks.
  • Bilingual abilities are highly valued to serve diverse client needs effectively.
  • Competency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and basic proofreading skills.
  • Prior experience in front desk roles such as medical receptionist or dental receptionist is advantageous.
  • Strong time management skills with the ability to prioritize tasks efficiently in a busy environment.
