Front Desk Agent

Job Summary

Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle appointment scheduling, calendar management, and coordinate meetings for staff or professionals
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software
  • Assist with clerical tasks such as proofreading documents, managing correspondence, and organizing office supplies
  • Support office management activities including bookkeeping, invoicing with QuickBooks, and general administrative support
  • Provide excellent customer service by addressing inquiries via phone or in person with professionalism and enthusiasm

Requirements

  • Proven office experience with strong clerical skills and familiarity with front desk operations
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with multi-line phone systems and phone etiquette is essential
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Excellent typing speed and data entry accuracy along with proofreading capabilities
  • Knowledge of office management procedures such as filing systems, calendar management, and time management techniques
  • Prior experience as a medical or dental receptionist or personal assistant is a plus but not required
  • Ability to handle customer support scenarios with professionalism and patience
