Responsibilities
- Greet visitors and clients with enthusiasm, ensuring they feel welcomed and valued
- Answer multi-line phone systems promptly and professionally, directing calls efficiently
- Manage appointment scheduling and calendar coordination using tools like Google Workspace and Microsoft Office
- Maintain accurate data entry, filing, and record-keeping for all administrative tasks
- Handle incoming correspondence, emails, and inquiries with clarity and courtesy
- Support office management duties such as supply inventory, document proofreading, and filing systems
- Assist with basic bookkeeping tasks using QuickBooks or similar software when needed
- Provide customer support by addressing questions or concerns promptly and effectively
- Perform clerical duties including typing, proofreading, data entry, and maintaining organized files
- Support other administrative functions such as calendar management and personal assistant tasks as required
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks or bookkeeping experience is a plus
- Strong customer service skills with professional phone etiquette and interpersonal communication abilities
- Ability to handle multi-line phone systems efficiently while maintaining professionalism under pressure
- Bilingual skills are highly desirable to serve diverse client needs effectively
- Exceptional organizational skills with keen attention to detail for proofreading, filing, and data entry tasks
- Time management skills to prioritize tasks effectively in a fast-paced environment
- Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
- Knowledge of office equipment operation including printers, scanners, and fax machines
