Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle scheduling tasks such as calendar management and appointment setting with accuracy and attention to detail
- Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy
- Support office management activities including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties such as typing correspondence, preparing reports, and updating databases in Microsoft Office and Google Workspace
- Provide excellent customer support by addressing inquiries, offering information about services, and ensuring a positive experience
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Prior clerical or administrative experience preferred; experience in dental or medical receptionist roles is a plus
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong phone etiquette and customer service skills to handle inquiries professionally
- Ability to manage multiple tasks efficiently with good time management skills
- Familiarity with office management tools such as calendar management software and bookkeeping programs like QuickBooks or similar is advantageous
- Personal assistant or medical receptionist experience can be beneficial for understanding complex scheduling or client needs
