Overview
We are a small, client-focused estate planning law firm seeking a reliable and organized Front Desk Assistant to be the first point of contact for our clients. This role is essential in creating a welcoming, professional experience while keeping the office running smoothly.
Responsibilities
- Greet clients and create a warm, professional first impression
- Answer and route incoming phone calls
- Screen new clients and gather essential information
- Send new client agreement and retainer requests
- Manage and maintain conference room calendars and appointments
- Assist with scheduling consultations and follow-ups
- Handle incoming and outgoing mail, including regular trips to the post office
- Maintain organized front office and client files
- Provide general administrative support to the legal team
Skills
- Strong communication and interpersonal skills
- Highly organized with strong attention to detail
- Ability to multitask and manage a variety of responsibilities
- Professional demeanor and dependable work ethic
- Comfortable handling confidential information
- Basic computer skills (email, calendars, document management)
- Computer literacy in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Experience with clerical tasks such as filing, proofreading, and document management
- Very comfortable learning new software and possess strong tech skills.
- Excellent time management skills to handle multiple responsibilities seamlessly
- Personal assistant or administrative experience is a plus for supporting executive schedules and calendar management
- Ability to maintain professionalism while managing busy front desk activities

Pay: $22.00 - $24.00 per hour
