The Front Desk Associate serves as the first point of contact for clients, visitors, and vendors. This position is responsible for creating a positive first impression while providing administrative and customer service support to ensure smooth daily operations of the agency. The role involves greeting clients, answering calls, processing payments, manage daily mail operations and supporting agency staff with clerical duties.

Key Responsibilities

  • Greet and assist clients and visitors in a professional, courteous manner.
  • Answer and route incoming phone calls; take accurate messages and direct them to appropriate staff.
  • Respond to client inquiries regarding billing, payments, and policy documents, or direct them to the appropriate licensed staff.
  • Process and post customer payments accurately and timely.
  • Collect, sort, and distribute incoming mail and packages; prepare outgoing mail.
  • Maintain a clean, organized, and welcoming front desk and lobby area.
  • Update and maintain client records in the agency management system (AMS).
  • Prepare basic correspondence, forms, and documents as directed.
  • Assist in agency marketing and client communication efforts (e.g., mailings and email campaigns).
  • Monitor office supplies.
  • Manage company sign with new postings.
  • Support team members with administrative and clerical tasks to ensure efficient agency operations.
  • Maintain confidentiality of all client and agency information.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • Minimum of 1–2 years of experience in customer service or office administration (insurance agency experience preferred).
  • Excellent verbal and written communication skills.
  • Professional appearance and demeanor.
  • Strong attention to detail, organization, and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with database entry.
  • Ability to handle multiple tasks in a fast-paced environment.
  • Dependable, punctual, and team-oriented.
  • Must be willing to obtain a Property and Casualty insurance license within one year of employement, if not already licensed.

Preferred Skills

  • Familiarity with insurance terminology and processes.
  • Experience with agency management system, AMS360
  • Basic understanding of insurance billing and payment procedures.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to lift up to 20 pounds occasionally.
  • Regular interaction with clients in person and by phone.

Job Type: Full-time

Pay: $16.00 - $21.00 per hour

Expected hours: 39 per week
